Individual provides administrative support to the Parks Director and Department.

The Support Services Specialist is responsible for assisting Department Staff by providing data entry and word processing support. Job responsibilities include the preparation of contracts, permits, cover letters, reports, letters, memorandum, forms, newsletters, press releases, reports, charts, policies or other correspondence from rough draft, staff instructions, or transcription. The Support Services Specialist provides other office support services by maintaining department files/records, providing clerical support, ordering office supplies, preparing claim forms or purchase orders, and bookkeeping. The Support Services Specialist provides operational support services to the Department, including registering customers, assisting in marketing and promotion of park services and facilities, collecting and recording revenue.

This position is scheduled 32 hours per week, is benefits-eligible, and located at the Carver County Public Works Headquarters in Cologne, MN.

TYPICAL DUTIES AND RESPONSIBILITIES:
• Registers customers for park services, facilities.
• Performs secretarial/clerical/ administrative support duties.
• Serves as a word processing specialist in the preparation of various documents, correspondence, forms, permits, reports, or materials requested by unit/agency staff from rough draft, transcription, or staff instructions.
• Provides back-up assistance and support to other support staff in meeting the clerical and support needs of the Public Works Division.
• Reviews invoices, process claims, places supply orders.
• Maintains and troubleshoots office equipment.
• Performs various phases of the department contract administrative process
• Attends Park Commission meetings, prepares agenda, minutes and reports.
• Prepares cash deposits and revenue transaction reports and invoices accounts payable.
• Assists in the development, preparation and updating of brochures, press releases, web page, and social media
• Updates and revises staffing and facility schedules.
• Serves as administrative support for departmental research, reporting and special projects.
• Performs other comparable duties of a like or similar nature as assigned.
MINIMUM QUALIFICATIONS:
• Must have a High school diploma or GED; and
• Minimum of 3 year previous secretarial/clerical/administrative support experience that includes word processing, records management, and customer relation/service responsibilities; and
• Must have valid Driver's License.
SCORED EXAMINATION PROCESS:
All applications will be screened for minimum qualifications, scored and ranked. The highest ranked candidates meeting minimum qualifications will be recommended for the scored oral examination (interview). Final selection for the position will include successful completion of oral interviews and background investigations.
