United States of America: Assistant Director


Purpose of Position:


IIE specializes in the management of undergraduate and graduate scholarships for students from around the world. Our scholarship services include program and application design, recruitment and selection, visa sponsorship, university placement, financial management, pre-departure orientation programs, and student monitoring and advising, among others.


The Assistant Director joins a dynamic team managing graduate scholarships and acts as a focal point at IIE with the Dept. of State and with overseas Fulbright Program Offices in the Western Hemisphere region. The Assistant Director will manage the Fulbright Foreign Student Program with the Western Hemisphere, working with team members to provide our scholarship services and supporting the development of new initiatives in the region, among other duties as follows.


Essential Duties and Responsibilities include the following.


  • Manage grant funds and plans funding requirements for the following fiscal year working closely with DOS/ECA and Fulbright offices overseas; directs Fulbright related IIE programs, such as those providing supplementary, corporate, cost shared, endowment and travel grants; determines the interim and final annual Fulbright allocations for new and renewal grants for each country; recommends allocations for related programs.

  • Assure that the team meets IIE’s contractual commitments to DOS/ECA in accordance with contract deliverables, IIE policies, Fulbright policies, and federal regulations, including but not limited to time-charging, audit-ready fiscal management and contracts.

  • Act as central contact at IIE for DOS/ECA Branches and overseas Fulbright Program Offices; assures effective working relationships with ECA branches and overseas offices; resolves administrative and communications problems; briefs ECA and Fulbright personnel; represents IIE at DOS/ECA meetings and conferences.

  • Responsible for selection, training, and development of staff as well as for coordination of their work within IIE, with DOS/ECA and with overseas Fulbright offices; maintains efficient and effective performance of the Western Hemisphere team by evaluating workflow, program policy application and sponsor relations.

  • Manage caseload of new and renewal Fulbright grants; assure appropriate program placement and funding; make final decision on amount of each Fulbright grant awarded in the first and subsequent years; prepares official grant documentation; assure accuracy of student grant budgets and statistical information on each student.

  • Coordinate efforts of multiple parties, both internal and external, to resolve complex grantee situations for entire Western Hemisphere world area.

  • Provide direction to IIE’s service departments (Placement, Global Exchange Operations, Intensive English and Pre-Academic, Student Supervision) and Regional Offices on Fulbright country/area policies and special services required for individual country programs or students; monitor compliance.

  • Lead development of new Fulbright programs and initiatives; identify enrichment and other special opportunities for grantees and country programs; craft proposals; administer special activities; provide regional expertise for IIE program development and create and implement training programs for overseas staff as needed; represents Western Hemisphere team in the departmental and institute wide working groups.

  • Some travel, both domestically and internationally, may be required.

  • Responsible for complying with applicable contract and sponsor requirements and following all IIE policies and procedures

  • Performs other related duties and functions as assigned.

People Management:


  • Supervise 2 team members.

  • Prioritize, organize, distribute, and coordinate the flow of work. Assess workload based on priorities and level of complexity.

  • Guide individual performance via timely feedback and support. Make recommendations to Department Director concerning employment, termination, performance evaluations, salary actions, and other personnel actions.

  • Train team on all policy and program updates; identify appropriate training and development opportunities.

Job Requirements


Education/Experience:


  • Bachelor’s degree required; Master’s degree preferred.

  • Minimum of 7 years of program management experience in international education or a related field.

  • Experience in and knowledge of Latin America region via work, study or travel.

  • Budget management and staff management experience required.

  • Fluency in Spanish and/or Portuguese required

Knowledge, Skills, and Abilities:


  • Knowledge of educational systems in the U.S. and overseas.

  • Strong analytical, budgetary and interpersonal skills required.

  • Initiative, mature good judgment, and excellent communication skills (written and oral) are essential.

  • Ability to organize high volume of operations and work effectively with individuals within IIE and outside the organization.

  • Knowledge of J-1 student visa regulations desirable.

  • To perform this job successfully, an individual should have knowledge Microsoft Office 2010; internet software and database software.
