Responsibilities


GENERAL SUMMARY/ OVERVIEW STATEMENT:
Candidate will provide administrative support to four administrative directors. Specific duties include scheduling, copying, electronic and paper filing, document management, meeting support, purchasing, data entry and analysis, and projects as assigned.


PRINCIPAL DUTIES AND RESPONSIBILITIES:


  • Provides support with scheduling, calendar maintenance, meeting minutes.

  • Manages administrative duties with minimal supervision, including project coordination.

  • Processes purchasing requests, payments and expense reimbursements.

  • Organizes and coordinates meetings/conferences.

  • Provides coverage for Legal Office as needed.

  • Conducts data entry and analysis.

  • Coordinates an online learning platform (HealthStream), to create, assign and monitor training assignments

Skills/Abilities/Competencies


Successful candidate must possess basic computer skills in order to use a variety of electronic systems to access and/or maintain personal employment-related data, satisfy required annual trainings, and use job-specific applications. All employees of McLean Hospital are assigned an email account for business communication purposes. Qualifications


  • Education: Bachelor’s degree preferred OR Associates Degree with 3-5 years of work experience (mental health and/or healthcare organization preferred) OR 6-8 years of professional experience.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

  • Expertise using Microsoft Office Suite:

  • Excel (formulas, pivot tables, lookups)

  • Word (form creation)

  • Outlook (multiple calendar management)

  • PowerPoint (creation of presentations).

  • Ability to quickly learn and apply new technology.

  • Takes initiative, uses all available resources; ability to prioritize; follows through to completion

  • Must be self-directed and committed to excellence and continuous improvement of processes

  • Ability to prioritize multiple requests and deadlines while maintaining flexibility and dedication to task

  • Preference given to candidates experienced with large data sets, using an online learning system (e.g., HealthStream), and using Captivate and Contribute, and having experience with Epic.
