Responsibilities:


Must be Bilingual English / Chinese (Mandarin)
– Welcomes visitors by greeting them in person or on the telephone; referring inquiries.- Answer, route, and disposition all incoming phone calls in a professional manner which reflects a high level of customer service.- Maintains telecommunication system by following manufacturer’s instructions for house phone and console operation.- Maintains safe, clean, and orderly reception, conference, breakroom, and common office areas.- Coordinates supply and Business Card ordering for all four (4) office locations; Irvine, San Francisco, Boston, and NYC.- Placing and expedite office and kitchen supply orders and verifying receipt of orders in accordance with policies and procedures. Put away supplies in an orderly manner.- Coordinate work orders with building Management.- Process and distribute all incoming and outgoing mail and packages to appropriate departments.
– Assist CEO with expense report reconciliation, and Outlook calendar schedule.
– Assist CEO with projects requiring Chinese to English and vice versa translation.
– Plan and schedule meetings and appointments for CEO and Executive staff.
– Book Executive staff travel. Assist to coordinate events.
– Support HR and Accounting departments as needed.- Maintain and distribute employee directory. Prepare and edit correspondence, communications, and other documents to support the objectives of the company.- Maintain and update vendor and customer information
– Provide general clerical and administrative support in inter-departmental staff in a manner which reflects the overall goals of the organization.- Assist with filing and data entry in a manner which is understandable and accurate.- Contributes to team effort by accomplishing related results as needed. Performs other duties as needed.


Experience and Qualifications:


Must be Bilingual , English – Chinese (Mandarin) fluent, speak, read & write.
– HS Diploma required. Bachelor’s Degree preferred, but not required- Minimum 3 years related experience- 40 WPM Typing- Proficient in MS Office: Word, Excel, Outlook and PowerPoint – Strong telephone skills – Strong customer service skills – Strong verbal and written communication skills & ability to interact comfortably with individuals at all levels -Strong organizational skills – Strong attention to detail and ability to work efficiently under tight deadlines -Team player, able to collaborate with fellow team members and volunteers willingly to assist others as needed. – Professional appearance and positive attitude – Experience in a fast-paced and growing office setting – Local candidates only, relocation assistance is NOT available for this position. – Must be authorized to work in the United States.
