Handles all aspects of incoming medical records, and incoming and outgoing requests for the release of medical records.
Monitors incoming electronic faxes, indexing and submitting records to appropriate providers via the electronic health record, designating records as High Priority as necessary.
Utilizes up-to-date knowledge of HIPAA privacy regulations and protection of patient health information. Alerts the HCC HIPAA Privacy Official of sensitive record authorizations.
Obtains HIPAA-compliant authorizations from patients before releasing health information, following state and federal privacy and confidentiality statutes and regulations
Documents all pertinent information/patient records received into an electronic health record according to HIPAA and NC State laws.
Independently monitors and prioritizes consultation referrals initiated by HCC providers in i2i electronic referral system throughout the day.
Monitors status of records requested by Health Care Center (HCC) providers and initiates necessary follow-up.
Manages inactive medical records per department policy.
Prepares necessary documentation and sends referrals as requested by HCC providers.
Performs other duties, as assigned.
Qualifications
Essential requirements:
High school diploma or equivalent.
4 years of recent medical office experience in a primary care office setting.
Experience with medical records processing.
Excellent people and customer service skills.
Excellent attention to detail.
Ability to work unassisted following established policies and procedures.
Additional requirements:
Knowledge of medical office procedures.
Excellent communication skills, professional telephone manner and clerical skills.
Extensive knowledge of medical records policies and procedures, as well as medical confidentiality regulations.
Experience using electronic health record system.
Ability to read and write with correct grammar and spelling.
Ability to operate basic office equipment.
Knowledge of NC and Federal HIPAA laws when processing medical records.
Preferred:
Administrative experience in a corporate-based primary care center.
Coursework related to medical office administration.
