Clerical Assistant - LAW DEPARTMENT - New York, NY

Positions are in various Divisions throughout the agency. Some include the following duties:

In the Administration Division (ECS Unit):
Under supervision, performs clerical work such separating and filing by service Encumbrances received from the Fiscal Unit; researching case information on invoices using Law Manager, performing data entry and retrieval, logging vouchers received from Fiscal into log book and filing vouchers according to service, coding information from vouchers on coding sheet for purpose of data entry, contacting different resources for missing information on invoices, running reports and working on special projects when needed.

In the Administration Division (Personnel Unit):
Acts as the back-up to the Stenographic/Interpreting Coordinator. Contacts stenographic and/or interpreting companies on a daily basis and arranges services for the Law Department’s depositions and 50-h hearings. Some requests may be held out-of-state, which requires locating out-of-state stenographic and/or interpreting companies to handle these requests.

In the Operations Division (Central Services Unit, Brooklyn):
Primarily be responsible for performing clerical and administrative tasks related to attorney work product duties in Operations and will open, staple and clock documents for distribution to Agency attorneys. Perform data entry into computer systems in order to account for documents received by the department and must follow strict procedures to ensure accountability and proper hand-off. On occasion, be required to answer telephone calls and should possess good computer skills, a pleasant speaking voice and good phone manners. Photocopy litigation documents and files, affix postage to outgoing mail and to pick up and/or deliver mail to the Post Office.

In the Operations Division (CDS Unit):
Primarily responsible for correctly docketing and routing critical legal matters. These documents will be date and time stamped according to established procedures. Perform data entry into computer systems to account for documents received by the department, distinguishing between the manner of receipt. Must keep accurate and detailed production records. May be required to respond to telephone inquiries, and assist with mail operations as assigned, and should possess good computer skills, a pleasant speaking voice and good phone manners.

In the Operations Division (Division Office):
Primarily be responsible for the daily reconciliation of invoices and other associated tasks for services provided by outside vendors. Required to photocopy these documents and would need familiarity with keyboarding in Word to enter this data into a spreadsheet. May be required to answer telephone calls, and should possess good computer skills, a pleasant speaking voice and good phone manners.

Other Divisions:
Duties may include, but are not limited to, general clerical task, such as reviewing and preparing documents, data entry, filing, opening and sorting mail for distribution, answering phones and relaying messages, scheduling appointments and other special projects as needed.

Minimum Qual Requirements

Qualification Requirements
A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one year of satisfactory clerical experience.
Skills Requirement
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
