The Role:

* Attending pre-arranged customer appointments at appointed dealerships and talking to new customers about their finance agreement.

* Ensuring the customers qualify and understand the full process and terms and conditions.

* Ability to establish customer intent and ability to repay the agreed amount of finance over a certain time frame.

* Making sure all documents and paperwork is complete and regulations are adhered to.

* Answer all customer queries to ensure deal is closed.

The Ideal Candidate:

* Customer focused with a friendly and informative approach to work.

* Excellent level of customer service along with the ability to build and maintain rapport with both consumer and dealerships.

* Ability to work independently and report to the area manager.

* High level of organisation and ability to manage own time efficiently.

* Previous experience in customer finance or personal banking would be desirable.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Performs one or more of the following activities: billing, outbound calling, receiving inbound calls, account adjustments, inside credit and collections, cashiering, energy diversion cases, customer counseling of available rate options, counseling of debt payment obligations, service connections and disconnections, new service requests, customer inquiries, dispatching and conflict resolution, which may vary depending on position location

Develops proficiency in the majority of customer service technical transactions and gains a working knowledge of complex customer service transactions. Transactions include but are not limited to: move in, move out and transfer of service, high bill inquiries, emergency orders, statement of account, bill presentation, bank draft, budget billing, lifewatch, medical certificates, agency assistance programs, credit, billing (edits, service order exceptions), miscellaneous adjustments, budget billing, and emergency response

Provides professional and courteous customer service to effectively resolve various energy consumption inquiries via person-to-person or telephone contacts

Detects, investigates, and collects revenue from energy diversions, as applicable or assigned

Actively manages, preps for and troubleshoots DNPs or may assist in preparation of customer notices, as needed or assigned

May provide on-the-job training or formal training classes on related customer service subjects as directed by management in a limited range of topics and may serve as a specialist in development of customer service training, as applicable or assigned

COMPETENCIES:

Starting Salary for this position will be: $15.58 per hour

The Customer Service Representative I position has frequent contact with the City's utility customers by phone and through counter duty resolving customer inquiries and/or complaints. This position performs general clerical and accounting functions that applies basic principles of accounting in support of accounting systems for assigned areas of functions such as accounts receivable, cash receipts, and collections.

Work requires knowledge necessary to understand basic operations, technical, or office processes; level of knowledge equivalent to four years of high school or equivalency.

The ideal candidate for this position will be bilingual with utility billing experience, have a high standard of customer service, the ability to manage stressful situations, and deal with difficult customers with tack and diplomacy.

EXAMINATION PROCESS: Only a limited number of the most highly qualified applicants meeting the City's requirements will be invited for an interview. Examination process will include a panel interview.

First Year Objectives:

Description

Successfully completed the required basic training, able to perform basic job functions with help from co-workers, specialists and managers on non-basic issues.

Must pass the appropriate pre-employment test battery.

Primary duties may include, but are not limited to:
Responds to customer questions via telephone and written correspondence regarding insurance benefits, provider contracts, eligibility and claims.

Analyzes problems and provides information/solutions.

Operates a PC/image station to obtain and extract information; documents information, activities and changes in the database.

Thoroughly documents inquiry outcomes for accurate tracking and analysis.

Develops and maintains positive customer relations and coordinates with various functions within the company to ensure customer requests and questions are handled appropriately and in a timely manner.

Researches and analyzes data to address operational challenges and customer service issues.

Provides external and internal customers with requested information.

Under immediate supervision, receives and places follow-up telephone calls / e-mails to answer customer questions that are routine in nature.

Uses computerized systems for tracking, information gathering and troubleshooting.

Requires limited knowledge of company services, products, insurance benefits, provider contracts and claims.

Seeks, understands and responds to the needs and expectations of internal and external customers.

A Customer Service Specialist I in the Call Center is responsible for dealing directly with the public, both by telephone and via electronic mail; in order to process service requests, receive, tabulate, and balance various payments. Employees in this class perform a wide variety of responsible public contact tasks involving journey-level cashiering and/or clerical procedures to provide utility services to customers. Duties include: explaining and interpreting City ordinances, policies, and procedures; billing, collecting, and processing utility service requests (electric, gas, water, wastewater, solid waste, irrigation, and hydrant meters); receiving and posting payments for utility accounts, return checks, and late fees; making payment arrangements; providing information on pricing of rates and fees; assisting customers with high bill requests while educating the customer on conservation tips; assisting the customer in the resetting of passwords within the on-line system; verifying customer identities and checking credit when necessary; processing changes to accounts such as address and due date changes; and enrolling customers in programs such as Select Due Date or E-Bill. This classification may be assigned to the dispatch area, which involves working with Field Representatives to track reconnects and disconnects of utility services. This includes: communicating with Field Representatives regarding their progress and status, notating service orders with any updates from the field, and communicating with reps regarding any other circumstances that require research or look up in the customers’ accounts. This classification performs other duties as assigned. This class is FLSA non-exempt.

Employees in this classification can progress to the Customer Service Specialist II class by non-competitive promotion after successful completion of at least one year as a Customer Service Specialist I, meeting the performance criteria identified for promotion to the level II position.

Qualifications & Requirements:

Minimum Qualification(s) Required. Graduation from high school or GED. Four years of full-time employment in customer service work involving typing and/or bookkeeping activities with at least two years of which are within a high volume call center environment. At least two years of employment with the City of Mesa, having already passed Customer Information System (CIS) training and working with CIS can substitute for the two years in a high volume call center environment. Ability to operate a PC and use word processing software. A minimum typing speed of 35 net words per minute (nwpm) is also required and will be verified prior to employment or promotion to this class. If the position you are applying for requires submission of other documents (transcripts, typing certificates, etc.), please attach to your application.

Preferred/Desirable Qualification(s). Public contact and/or public utility experience is highly desirable.

Responsibilities

- Performs complete intake processes for third-party insurance and other various referral source orders for home medical equipment and supplies.

- Interacts with nurses, physicians, caregivers, and patients to obtain information needed to process patient specific orders

- Actively participates in hands-on product fittings and equipment demonstrations, retail sales, purchasing, inventory, stocking, merchandising, and fitting for items such as compression garments, orthopedic supports, and prosthetic appliances.

Qualifications

- High school diploma or G.E.D. completion required

- Previous DME or Home health industry experience and / or equivalent service preferred

- Computer skills required

- At least 6 months retail sales experience preferred

- At least 6 months of customer service experience preferred

- Must have professional and courteous telephone and interpersonal skills, and well developed oral and written communication skills

- Ability to learn and utilize basic listening, research, and problem-solving skills

- Ability to tolerate frequent changes in position (sitting,/standing/walking/bending) to accommodate product fitting and demonstration activities, as well as the ability to move and/or lift objects up to 50 pounds

- Ability to demonstrate a high degree of emotional maturity, poise, flexibility, and good judgment in responding to high volume of various customer interactions

- Ability to demonstrate a high degree of empathy, tact, and diplomacy in dealing with multiple types of customers with varying socio-economic background, attitudes, intellectual levels

- Must be able to learn to and/or operate basic office equipment including items such as calculators and cash register
