SECRETARY 9 - State of Michigan - Coldwater, MI





Serves as senior-level assistant to Deputy Warden performing secretarial duties and management support activities. All duties are performed using general guidelines from non-clerical supervision, and require thorough knowledge of secretarial discipline, instructions, and guidelines, as well as the ability to interpret supervisor’s viewpoint to others using own discretion in relaying information. Independently coordinates office activities including overseeing and assigning the work of office support staff, and participates in management activities for the work area. Explains work instructions to other employees, and works with deadlines on a daily basis. Acts as public relations representative via telephone and personal contact to staff and outside agencies, and as a liaison between Deputy Warden and staff. Transmits specific privileged or confidential information with higher level administrators, maintaining confidentiality from others. Researches and prepares materials for administrative staff review and coordinates Health, Safety, and Energy Committee Meetings. Additionally, incumbent is assigned duties of facility’s Terminal Agency Coordinator (TAC) for Law Enforcement Information Network (LEIN) access and use (including maintaining facility’s records for audit by Michigan State Police), is responsible for payroll preparation for assigned timekeeping units, and supervises prisoner porters assigned to Deputy’s Wing on a daily basis. Also, during a facility disturbance or natural disaster, incumbent is assigned as the Emergency Communications Coordinator, and reports to the facility’s Command Center. Incumbent is also in process of training as back-up for Warden’s Secretary and Warden’s Administrative Assistant. This is a Drug and Alcohol Random Test designated position (DART).

Required Education and Experience:


Education

Educational level typically acquired through completion of high school.


Experience

Four years of administrative support experience where use of a personal computer to prepare correspondence, reports, charts, etc., or to enter/retrieve/update information is an essential part of the work, including two years equivalent to experienced E7 level administrative support work, or equivalent to a Secretary 7, or Legal Secretary 7.


OR


Four years of administrative support experience where use of a personal computer to prepare correspondence, reports, charts, etc., or to enter/retrieve/update transactions is an essential part of the work, including one year equivalent to advanced 8-level administrative support work, or equivalent to a Secretary E8, or Legal Secretary E8.
