Responsibilities:
- Use effective verbal and written communication skills.
- Read and understand company policies and procedures and other literature and documents applicable to assigned tasks; plan and execute the assigned work in accordance with those policies and procedures.
- Understand and comply with Document Control Policies and verification checklists.
- Understand document types; including but not limited to:
- Drawings
- Specifications
- Equipment lists
- Bills of Material
- Legends
- Design change notices
- Requests for information
- Letters, memos, transmittals, faxes
- Client and Joint Venture contract
- Manufacturer’s literature
- Prioritize work independently.
- Have working knowledge of internal audit procedures for document control.
- As required assemble client turnover package per client requirements. Assist in maintaining punch list documents, work remaining lists and exceptions to turnover packages.
- Maintain electronic file organization.
- Receive, send, record (data entry), classify, maintain, and distribute technical documents at the job site.
- Copying and electronic document scanning.
- General clerical and administrative duties.
- Transmit, receive, record and distribute e-mail correspondence and documentation according to established procedures.
- Perform database input and word-processing functions.
- Ensure that the confidentiality of sensitive information is protected.
- Assisting the team with user requests.
Requirements:
- Effective communication skills, both oral and written.
- Knowledge of records/information management principles and their methodologies.
- Excellent data entry skills.
- Excellent knowledge of MS Office (Word, Excel, PowerPoint).
- Knowledge of an electronic document control system (SharePoint, Centric, etc.) asset.
- Highly autonomous with great adaptability, professionalism and flexibility.
- Must be able to work both independently and in a team.
- Previous experience with electronic record keeping, documentation and reporting practices.
- Ability to prioritize tasks in a dynamic work environment.
