Position Description:


SI is seeking a Corporate Operations Assistant (COA) to assist the Senior Corporate Operations Manager (SCOM) and provide a variety of management and professional support across the organization with an emphasis on planning, operational efficiency and effectiveness, risk management, and organizational development. The incumbent coordinates and leads on a number of activities that are directly under the responsibility of the SCOM as well as serves as the focal point and facilitation agent within the organization to support and/or lead a variety of initiatives aimed at increasing organizational effectiveness. A major part of the incumbent’s responsibility will be to centralize and institutionalize developed tools and resources in a manner that is useful, visible, and accessible to program teams. The COA is able to employ exceptional analytical skills, detail orientation, and is an effective communicator. The ideal candidate is well organized, a problem solver, can multi-task with ease and is results driven. He/she is able to liaise effectively across the organization, communicating easily with staff in the full spectrum of technical roles and at all organizational levels. He/she works closely with the COA on a day to day basis to achieve strategic objectives that fall within the remit of the office of the Chief Operations Officer.


Responsibilities:


  • Tools and Resource Management: Social Impact aims to create and implement a best-in-class operational framework to support technical units in effective and efficient project execution. Substantial progress has been made to establish corporate policies, standard operating procedures and tools/resources that further this objective. The COA will take the lead in completing this process by ensuring that policies, procedures, tools and resources are centrally deployed and easily available to support efficient project management and implementation. The COA will be responsible for updating these tools, policies, and standard operating procedures and work with subject matter experts to facilitate training, dissemination and socialization as and when needed. Work with the SCOM to conduct periodic spot checks and compliance audits as and when required.

  • Long Term Field Office Management: Social Impact aims to significantly strengthen its capabilities in all aspects of Field Office Operations and prudently manage risks associated with this line of work. This includes but is not limited to: developing and deploying clear policies and procedures related to field office administration (start up, implementation, close out), strengthening policies related to field office personnel, clarifying roles related to field office operations both at HQ and in the field and strengthening relationships between field offices and HQ, establishing and implementing systems to capture and share lessons learned across SI field offices and in new bids. The COA, with support from the SCOM, will serve as the corporate administrative lead and central point of contact for office and bank account registration and de-registration, to update and disseminate management tools and templates to guide the field office during implementation, and guide project teams on the operational aspects of office close-out.

  • Routine Risk Management: On routine risk management, the COA, with support from the SCOM, will spearhead the solicitation of quotes/task orders from third party security providers, ensure access to relevant security information, update standard safety and security protocols and work with the SCOM to disseminate and socialize the information to staff. The COA will also provide routine travel briefings to staff as part of the corporate travel onboarding process.

  • Special Initiatives: The COA will provide support for a variety of special initiatives at the direction of the SCOM. The nature and scope of the initiatives will vary considerably depending on organizational needs and will often be identified and proposed by the COA in consultation with staff in other parts of the organization. Initiatives will usually be related to the COA’s core areas of responsibility and strengthening operational efficiency and/or organizational effectiveness.

  • Management: The COA will provide managerial oversight for a Corporate Operations Intern.

  • Other duties as assigned.

Qualifications:


  • Bachelor’s degree in a related field

  • 1-2 years of project administration or management experience required. Experience living and working abroad, preferably in Africa or Asia, preferred. Working proficiency in French, Spanish and/or Portuguese desired.

  • Demonstrated ability to work independently; able to handle confidential information.

  • Excellent organizational skills and ability to prioritize and multitask.

  • Strong decision making ability and attention to detail.

  • Demonstrated leadership skills.

  • Proactive, results-oriented, creative problem solver.

  • Excellent writing, communication, and analytical skills.

  • Ability to work with a diverse set of staff in various technical areas and at different levels.

  • Advanced knowledge and experience with the use of MS Word, Excel, PowerPoint, and Project. Knowledge of document management systems, portals, database applications, specifically SharePoint, is also desirable.

  • Excellent verbal and writing skills in English.
