SUMMARY:
The American Red Cross seeks a Grants Associate to support the International Program Quality and Performance unit within the International Services Division (ISD). This position is responsible for coordinating a complex grants portfolio, supporting all major donor proposals, formal and ad-hoc report preparations and internal process coordination. The Grants Associate supports the planning, implementation and evaluation of grant proposals and provides guidance on USAID grants and cooperative agreements. Additional functions include fostering open communication and partnership with ISD units, identifying and communicating to management areas of training needs for NHQ and field staff, and identifying best practices in grant management to share across the Division. Drivers for this work include: grant portfolio size and complexity, structure and staffing of program implementation units within the Division.
RESPONSIBILITIES:
Donor Proposals, Reports Support & Coordination:
- Support the coordination required for timely and organized production and review of proposals and reports between programs, finance, technical staff, and leadership within ISD.
- Ensure high quality documents are produced for leadership review.
- Draft new and modify existing timelines and guidance tools for proposal and report production.
- Monitor effectiveness of processes and facilitate proposal and report process retrospective analyses resulting in concrete recommendations for improvements and identification of best practices.
- Ensure frequent and detailed communication to appropriate teams during proposal and report preparation.
- Track all donor requests in an online tool and ensure all donor notifications and submissions are filed in appropriate locations.
- Support meeting and presentation preparation for department wide meetings that support field office participation related to proposals and reports, including kick-off meetings and information sessions.
- Establish creative tools accessible online for information sharing and training related to grants management.
Grants Management:
- Participate in meetings and report reviews of active grants.
- Review internal budget to actual reports for donor funded projects.
- Work closely with Finance and Business Operations to maintain an awareness of individual grant compliance with donor rules and regulations.
- Communicate identified risks to senior management.
- Resolve grant administration issues in a timely manner.
- Support field office trainings in grants management.
System Support & Information Management:
- Collaborate closely with ECOS team to map grants management processes and roll out new procedures to ISD avoiding duplication of effort within ECOS and aligning to or using existing ECOS tools where appropriate.
- Establish and actively contribute to ARCT Chatter group in ECOS to foster an open and transparent communication culture.
- Maintain and adapt as necessary an ARCT resource center with up to date templates and guidance on ARCT proposals, reports, and grants management requirements.
- Populate and manage donor calendar in ECOS.
Other Duties: Participates in conference calls and meetings during entire year as requested.
Attends training during entire year as requested.
Maintains spirit of teamwork and collaboration in all job functions.
Completes assigned tasks as requested.
QUALIFICATIONS:
- Bachelor’s degree (or equivalent experience) in Business, Public Administration, Non-profit Management, International Development or relevant field.
- 3-5 years relevant work experience.
- Knowledge and experience with USAID rules and regulations related to grants and cooperative agreements, including 22 CFR 226, OMB A-122.
- Strong Microsoft Office Excel skills for reporting and data analysis; visual presentation and graphics software, and experience with Salesforce preferred.
- Knowledge and experience in grants management and donor compliance.
- Superb attention to detail.
- Project management experience.
- Experience working in an international setting preferred.
- Ability to work independently, balance multiple projects and meet deadlines.
- Demonstrates versatility, analytical thinking, problem solving and interpersonal skills.
- May require flexibility to work in a 24×7 environment, to include non-standard work hours such as weekends.
- Flexibility may be required to meet sudden and unpredictable business needs.
- May require travel and extended time away from home up to 10-25%.
- Selected candidate must already be legally allowed to work in the US without any need for Visa Sponsorship now or in the future.
