US PROGRAMS OFFICE OVERVIEW:


The US Programs Office is focused on developing innovative programs to support youth in making healthy choices, participating in healthy relationships, and preventing pregnancy, sexually transmitted infections and interpersonal violence. The US Programs Office has two federally funded programs dedicated to developing and evaluating sexual health education curricula- Gender Matters (GenM) and Our Stories, Your Choices (OSYC). Both programs offer gender transformative sexuality education that aim to add to the existing options for evidence based interventions. Gender Matters is in its final year and OSYC is in its first year. Other programs within the US Programs portfolio include an adaptation project to serve Native American Youth with the GenM curriculum and a planning grant that supported the development of the OSYC project and continues to serve as a sounding board for ongoing implementation.


The US Programs Office is fast growing and has already garnered support and recognition from many organizations, both locally and nationally. Gender Matters was awarded the Outstanding Emerging Innovation Award from the Healthy Teen Network in 2013 and both the Program Director and Manger were honored by the Healthy Youth Partnership (Austin, TX) for their contributions to the local community. EngenderHealth’s US Programs Office has a reputation for outstanding and innovative work.


Note: This position is funded by a federal grant and is subject to annual funding renewal applications.


JOB SUMMARY:


The Project Assistant serves as the primary administrative and programmatic support for the US Programs Office, specifically supporting the Project Director and Program Manager. In addition to enabling the daily work of the technical staff, s/he assists the management staff in effectively managing relationships with key partners, grantors, and EngenderHealth headquarters. The Project Assistant reports directly to the Program Manager, however, this position must interact and work directly with all staff in the US Programs Office and occasionally with staff in the EngenderHealth New York office. The incumbent is expected work independently on many projects, but has ongoing support, development, and supervision provided by the Program Manager.


RESPONSIBILITIES:


  • Provide administrative support to Austin office staff and temporary employees.

  • Provide support in developing, editing and packaging reports and official communications to stakeholders, funders and partners.

  • Manage daily facility operations of office and purchase and maintain stock of office supplies.

  • Support the execution of documentation for contractual sub-agreements, service agreements, and consultancies, and ensure timely payment to sub-grantees and consultants.

  • Process vendor invoices, payments, reimbursements, check requests, and other related duties.

  • Maintain system for tracking all Austin Office facility payments and expense reports.

  • Assist project staff and consultants with travel arrangements and documentation, preparation and completion of expense reports and follow-up activities.

  • Prepare briefs on emerging issues within adolescent health, reproductive health or other pertinent topics.

  • Assist with planning and execution of community events.

  • Maintain accurate records of program activities.

  • Assist with implementation of other program activities as assigned.

  • Support social media interaction, including creating and scheduling posts, monitoring content, and engaging youth users.

Others duties as assigned.


EDUCATION, EXPERIENCE & CERTIFICATIONS:


  • Bachelor’s degree or equivalent experience required

  • Two years of experience in providing administrative and office support required, especially in a non-profit setting.

  • Experience with youth development or similar programs a plus.

KNOWLEDGE, SKILLS AND ABILITIES:


  • Proficient in Microsoft Office Suite, including Word, PowerPoint, Excel as well as internet applications and searches.

  • Experience using and managing employee use of office equipment, such as copier, scanner, and fax machines.

  • Excellent written and verbal communication skills.

  • Experience with social media platforms, such as Facebook, Instagram, and Twitter.

  • Experience in proof-reading, editing, or preparing reports, documents, and official communications.

  • Strong organizational skills, flexibility, and confidence.

  • Ability to creatively search for information or solutions to solve problems independently.

  • Experience and comfort in working with diverse populations, including diversities in age, sexual orientation, gender, ethnicities, and abilities.

  • Travel Requirements: Minimal out-of-town travel is expected, no more than a few times per year and typically within Texas.
