Customer Service Representative I job - Commonwealth of Massachusetts - Milford, MA

The incumbent of this position is responsible for performing the following duties:


Examines the correctness of execution of forms, documents and applications pertaining to registrations, licenses, titles, identification cards and motor vehicle sales tax.


Determines and receives fees and other payments on a considerable scale such as statutory fees for registrations, licenses, titles, identification cards examination appointments and motor vehicle sales tax.


Reconciles receipts with revenue control documents and applications; prepares and maintains revenue and other accounting records; operates computer terminals and Photo imaging hardware.


Prepares forms and other documents related to licenses, registrations, identification cards and receipts for titles.


Processes data on a computerized communication system (ALARS and Photo imaging Technologies.).


Types material of more than average difficulty from rough draft, straight copy or data personally developed according to standard procedures; types such material as correspondence, reports, memoranda and requisitions; proof reads typed material for accuracy as requested; may compose routine correspondence.


Provides information to the public by telephone or in person where familiarity with complex requirements or procedures and requirements for obtaining a license, registration, title, identification card, matters related to motor vehicle sales tax and Motor Voter Information.


Performs miscellaneous clerical work as required, such as the receipt and distribution of mail, the requisitioning of office supplies, the operation various office machines, the preparation of statistical and other reports related to licenses, registrations, identification cards, sales tax and other matters related to license drivers and registered vehicles.


Maintains files classified by subject, such as general correspondence files, classifies and indexes file material; searches for such file information as records of arrest or court records. NDR clearances/suspension clearances and reinstatement.


Provide coverage for other offices upon request.


Receives and reconciles revenues generated through ALARS or back-up systems in compliance with established cash transfer logs and back-up sheets; security of revenues and Registrar’s stamp at all times; confidentiality of security codes; and accuracy of cash control within goals for over/short occurrence.

Qualifications:

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) one year of full-time or equivalent part-time, experience in customer service, administration, communications or (B) any equivalent combination of the required experience and the substitutions below:


Based on assignment, applicants may be required to speak another language.


Substitutions:


An Associate’s or higher degree may be substituted for the required experience.


Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Working knowledge of business English, spelling punctuation and arithmetic.


Ability to read, write and comprehend the English language.

Ability to make arithmetical computations and tabulations accurately and with reasonable speed and to accurately calculate and


Ability to acquire a knowledge of clerical office practice


Ability to perform clerical tasks quickly and accurately


Ability to operate office equipment


Ability to communicate orally and in writing


Ability to understand and follow oral and written instructions


Ability to type 30 amiable words per minute


Willingness to travel to other offices within the Region on an as needed basis


Ability to understand and apply the laws, rules, policies and procedures governing assigned unit activities.


Ability to exercise discretion in handling confidential information.

Comments:

This is a Civil Service position. In the event a Civil Service examination is held for this title, appointees would be required to take the examination when administered.


For purposes of bargaining unit designation, Unit A is equivalent to MassDOT Unit 1.
