Essential Duties and Responsibilities (Day to day functions):


  • Assist in the preparation of presentation materials.

  • Edit all incoming and outgoing documents

  • Maintain confidentiality of information

  • Assist the Subject Matter Experts (SME) in the development of policy documents

  • Prepare official correspondence, letters and memos from hard copy, using form letters, and/or drafting content as requested.

  • Prepare, edit and assemble reports required for meetings and presentations.

  • Prepare and distribute meeting agendas and meeting minutes and provide timely and comprehensive communication between involved parties.

  • Work effectively with other branches and divisions within the organization to accomplish tasks

  • Provide assistance, as needed, with special projects.

  • Obtain necessary information from appropriate source(s) to complete assigned tasks and share information with others as needed.

  • Research, verify and compile information to provide full subject coverage.

  • Assist with the development, revision and preparation of training materials.

  • Develop and edit regularly scheduled status reports, as requested by FTD.

  • Edit documents necessary for agency procurement packages to include the Statement of Work, Statement of Objectives, Performance Work Statement, Analysis of Alternatives, Determination and Findings (D&F) and Independent Government Cost Estimates (IGCE).

  • Review purchase orders, inter-agency agreements and contracts for pertinent information and report items that need action to the responsible FTD Branch Chief

  • Monitor the Fire Arms Training Division (FTD) Records Management Efforts

  • Organize, maintain and file official records (Class and students records).

  • Maintain all of the division’s files following a logical system so that others are able to file and easily retrieve documents.

  • Maintain a vendor/solicitation log; enter all pertinent pricing information and historical data throughout the contracting process.

  • Establish and maintain purchase card folders and correspondence in support of the FTD Purchase Card program.

  • Establish, maintain, and monitor a variety of records and statistical data regarding the administrative services provided by the division.

  • Other ad hoc administrative assignments as determined

Additional Duties and Responsibilities:

  • Accomplishes all tasks as appropriately assigned or requested

Minimum Experience, Education and Licensure:

  • High School Diploma or equivalent

  • U.S. Citizenship

  • At least 1 year previous experience performing similar task

Minimum Knowledge, Skills and Abilities:

  • Ability to work effectively and efficiently in a team environment and relate well to others

  • Ability to show initiative and commitment to the company’s goals

  • Ability to readily adapt to changing requirements

Physical Requirements:
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands and fingers to handle, or feel objects, tools or controls; use fingers and hands to type or write; reach with hands and arms; talk or hear; taste or smell. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Ability to Lift up to 45 lbs, bend, reach, carry, stoop, kneel, climb, etc.


Work Environment:
This position is performed in a facility training center.
