The Library Assistant 1 performs a wide range of Access Services duties, including circulation desk duties, collection and facility maintenance, and material retrieval. This position often serves as the first point of patron contact in a library that prides itself on exemplary service. Other potential areas of work include faculty scholarship support, document delivery, digitization and interlibrary loan.

Access Services include circulation, reserves, collection / library maintenance, interlibrary loan, and other projects including digitization and faculty scholarship support. These services are supported by a full time public services librarian and 8-10 full time library assistant staff members.


Please Note

: This position requires the ability to be flexible with varying schedule shifts. It also requires the ability to perform physical work for long periods of time; pulling books from the shelves, re-shelving, pushing heavy full book trucks with assistance, lifting books / tote that may be 20 pounds or more, etc.


Specific Responsibilities:


Circulation and Access:


  • Works independently at the circulation desk, the primary entrance to the library, at least 4 to 6 hours daily.

  • Enforces complex access policy, performs full range of circulation functions in the integrated library system (Voyager / Alma), including charging, discharging, placing holds, call slips, and recalls, item searching, patron lookup, and fine processing.

  • Processes item requests to/ from other Northwestern libraries in Voyager / Alma. Retrieves materials on reserve.

  • Answers questions regarding library policies and procedures and refers patrons to appropriate staff when unable to provide resolution to questions.

  • Opens and/or closes the library regularly depending on work schedule.

  • May be solely responsible for the physical facility during some hours.

Interlibrary Loans (ILL) / Reserves Assistant:

  • Performs full range of duties to process requests for ILL or electronic Reserves. This includes verifying citations and availability of items, updating request status, routing requests as needed, retrieving items, scanning content, shipping items, accurately updating online systems, and answering questions about ILL and Reserves processes, policies and services.

Collection and Library Maintenance:

  • Performs full range of duties to maintain physical collection, including shelving, sorting, shelf-reading, straightening, locating missing books, updating signage, and collection shifting.

  • Maintains and monitors physical library space, ensures library is clean, tidy and organized, and reports any problems.

  • Regularly gathers statistics on space usage.

General Administrative:

  • Participates in other library support services involving collection processing, library records, data analysis, documentation, document delivery, interlibrary loan, reserves processing, faculty scholarship support, and new initiatives, as needed.

  • Attends and participates in departmental and library-wide administrative meetings, working groups, and projects.

  • Performs other duties as assigned.

Minimum Qualifications:

  • A high school diploma, or the equivalent combination of education, training and experience from which comparable skills can be acquired

  • Ability to work both independently and as part of a team.

  • Customer service experience; flexibility and commitment to providing outstanding customer service.

  • Excellent interpersonal skills and ability to establish positive working relationships with a wide variety of people ranging from students to peers to faculty members.

  • Strong sense of responsibility and reliability; must be able to assume responsibility for entire library facility during off-peak hours.

  • Ability to perform physically demanding tasks such as shifting books and pushing book carts; ability to lift a minimum of 20 pounds.

  • Computer Proficiency: Successfully uses multiple software programs independently, in particular Word and Excel. Other software programs may include Microsoft Office applications such as PowerPoint, Word, Excel, and Access; email, various web browsers, and library systems.

  • Attention to Detail: Consistently displays accuracy and attention to detail.

  • Excellent oral and written communication skills and organizational skills.

Preferred Qualifications:

  • Bachelor’s degree or higher.

  • At least one year experience in a library or equivalent environment.

  • Familiarity with standard library methods and procedures.

  • Facility using library research databases, integrated library systems.
