Program Assistant

The Programs Assistant supports the Chief Programs Officer with daily programmatic operational projects and administrative responsibilities.

DUTIES AND RESPONSIBILITIES:


  • Assists the Director in reviewing contract goals and requirements and helps develops systems to ensure that programs are compliant.

  • Maintains regular communication with Chief Programs Officer regarding status of current projects and development of new projects , provides updates and feedback

  • Performs front office work

  • Assists with the implementation of program projects

  • Provides administrative support to the Chief Programs Officer

  • Organizes, develops and conducts outreach events for all programs

  • Assists the Chief Programs Officer in analyzing the data of families and providers to determine clients’ needs, evaluate program success and to determine direction of programs

  • Maintains all Community Care Licensing Complaints for the department and works with staff, parents and Community Care Licensing to file a complaint, provides resources and ensure that next steps are followed

  • Assists programs in implementing work plans and strategies

  • Seeks and develops resources for families and providers to enhance quality of programs

  • Fills–in for program staff when there are vacancies to perform such duties as R&R shifts, creating presentations, timesheet calculations, outreach presentations, intakes, and enrollment etc.

  • Assists with the production of reports and special projects for the department, funders and the agency, such as dashboards and trend analysis on clients ‘ needs

  • Assists Chief Programs Officer with updating program and procedures and implement quality assurance for programs

  • Participates in meetings, represent the agency in the community and collaborate with other organizations, corporations, and social services agencies

  • Provides written and verbal translations as needed

  • Other duties as assigned

SKILLS REQUIRED:

  • Bilingual in Cantonese/English is preferred

  • Knowledge of early childhood education and Child Care Licensing is a plus

  • Strong organizational and interpersonal skills

  • Ability to be creative, detailed oriented, and experience in workshop and resource development

  • Ability to help create strategies to improve program functions

  • Excellent communication skills, both verbal and written

  • Demonstrated sensitivity to the need, and understanding of the diverse socioeconomic, cultural and ethnic backgrounds of parents and childcare providers in San Francisco

  • Strategic planner who is adept at prioritizing, organizing and following through; able to balance multiple competing priorities

  • Able to monitor programmatic practices and provide analysis

  • Experience working with limited English speakers and diverse population is a plus

  • Ability to implement materials, conduct workshops for groups

  • Ability to work independently as well as a team member

  • Strategic thinking, influencing, problem solving and decision making skills and be self directed

  • Knowledge of resources in San Francisco

  • Ability to collaborative and build positive/effective partnerships

  • Ability to analysis data systems

  • Proficient in all Microsoft Office programs, especially Power Point

  • Ability to bend and lift 50 pounds

  • Ability to work on some evenings and weekends.

EDUCATION REQUIRED:

  • Bachelor’s degree in Child Development, Education, Social Work or related field AND two year paid experience
