POSITION SUMMARY:
The Receptionist is responsible for representing Hope House in a professional manner to all those who call the administration line and/or enter the administrative building. Depending upon the location at which the Receptionist is housed, this position will also be responsible for a variety of other specialized tasks (noted below).
ESSENTIAL FUNCTIONS:
Ensures the safety and welfare of the Hope House campus by monitoring who is allowed into the administration building.
Answers the administrative telephone line in a professional and competent manner, directing calls to appropriate parties as requested.
Greets all guests and clients in a professional and trauma-informed manner, ensuring that all guests sign the confidentiality notice.
Directs all guests and clients to the appropriate person or place at the agency.
Greets all donors in a professional and competent manner, receives donations, assists in carrying in donations when necessary, and ensures that contribution forms are completed.
Creates clean and organized front desk and work room areas, maintaining necessary office supplies and informational materials.
Coordinates the scheduling of all conference rooms, including preparing the room and acquiring refreshments for meetings as requested.
Prepares and maintains documents and correspondence for other staff as requested.
On a daily basis, picks up incoming mail from the post office, distributes mail, and drops off out-going mail at the post office.
Communicates detailed and precise information to ensure that all pertinent information and facts are available to all interested/eligible parties.
Follows all Hope House policies and requirements, to include serving as a mandated reporter of child abuse, as required by law or grant funding.
Independence Receptionist:
Completes a variety of client-related data entry tasks as assigned by program managers.
Prepares and maintains the employee telephone/birthday/anniversary spreadsheet and organizational chart.
Prepares and maintains new hire packets for the Director of Human Resources.
Checks the donation line voicemail and returns calls or transfers calls as appropriate.
Assists in the coordination and utilization of the medical/dental room in the Community Partnership Building.
REQUIREMENTS (KNOWLEDGE SKILLS AND ABILITIES):
Ability to work effectively with persons who have diverse styles, abilities, motivations, and backgrounds
Ability to multi task and work in a fast paced environment
Ability to provide a current Motor Vehicle Record that demonstrates the employee is eligible for coverage under the agency’s insurance policy.
Ability to travel to various meetings with a valid driver’s license and insurance
Strong written and oral communication skills
Advanced computer skills to perform data entry and other clerical duties
Ability to deal effectively with conflict resolution in stressful situations
Ability to maintain confidentiality, neutrality, and professionalism in role
Must be able to come to work promptly and regularly
Must be able to work under the stress of deadlines
Must be able to concentrate and perform accurately
Must be able to adapt to change productively and handle other tasks as assigned
MINIMUM QUALIFICATIONS (EDUCATION & EXPERIENCE):
High school diploma or equivalent experience.
Experience working with a diverse population
General knowledge of the dynamics and causes of domestic violence and a commitment to end domestic violence as a social problem
PREFERRED QUALIFICATIONS:
Bilingual with any second language
Knowledge of local community resources and agencies
Prior customer services experience, preferably in a stressful environment
