The Georgetown Police Department is now accepting applications for an Office Assistant position. This position greets and assists department visitors; Answers telephones; provides information and assistance to callers; routes calls to the appropriate personnel and takes messages as necessary; Communicates with field personnel via radio as needed to receive and relay messages; Coordinates requests for emergency/non-emergency assistance with central communications personnel; Receives, reviews, processes, enters, tracks and files incident and accident reports, supplemental reports, booking reports, fingerprint cards, citations, warrants, parking tickets and other records; Maintains various logs and lists; Locates duplicates and distributes department records and reports for officers, attorneys, court personnel, outside agencies and the general public as requested and as appropriate; Compiles data for reports; conducts research as necessary to locate and compile requested information; Conducts criminal history and driver’s license record checks as requested; Collects receipts and record various fines and fees; Completes and files department insurance claims; Performs routine clerical work as required including entering computer data, copying and filing documents, sending and receiving faxes, completing forms, processing daily mail, etc; Attends training, meetings, seminars, etc. as required to enhance job knowledge and skills. Reports to the Administrative Supervisor.

Starting Salary: $26,366.18

ESSENTIAL JOB FUNCTIONS


Enters data.


Prepares daily logs.


Answers correspondence.


Initial greeting to all visitors to the department; provides assistance and direction to appropriate person/place.


Answers telephones; provides information and assistance to callers; routes calls to the appropriate personnel and takes messages as necessary. Responds to inquiries, requests and complaints from citizens and other City workers.


Maintains the department’s warrant file to include preparing documentation for entry into the national “wanted persons” database, bi-weekly manual audit of all warrants and courtesy summons, and bi-weekly preparation of warrant list.


Communicates with field personnel via radio as needed to receive and relay messages.


Coordinates requests for emergency/non-emergency assistance with central communications personnel at the 9-1-1 Center.


Receives, reviews, processes, enters, tracks and files incident and accident reports, supplemental reports, booking reports, fingerprint cards, citations, warrants, parking tickets and other records.


Maintains various logs and lists.


Assists Records Clerk to locate, duplicate and distribute department records and reports for officers, attorneys, court personnel, outside agencies and the general public as requested and as appropriate.


Compiles data for reports; conducts research as necessary to locate and compile requested information.


Conducts criminal history and driver’s license record checks as requested.


Collects receipts and record various fines and fees.


Completes and files department insurance claims.


Performs routine clerical work as required including entering computer data, copying and filing documents, sending and receiving faxes, completing forms, processing daily mail, etc.


Attends training, meetings, seminars, etc. as required to enhance job knowledge and skills.


Prepares and/or generates a variety of documents including daily log sheet, insurance claims, warrants, criminal histories and receipts.


Refers to front desk guide, incident reports, citations, warrant list and accident reports.


Utilizes a variety of computer software to include RMS, Lems Web, DMV, Public Index and NET RMS.


Interacts and communicates with various groups and individuals such as supervisors, central dispatch, officers, coworkers and Municipal Court.


Utilizes a variety of equipment and or machinery to include staplers, cell phones, fax machine, radios, shredders, etc.


ESSENTIAL SAFETY FUNCTIONS

Each employee must follow safety training and instructions provided by their supervisor. Each employee must also properly wear and maintain all personal protective equipment required for their job. Finally, each employee must immediately report any unsafe work practices or unsafe conditions as well as any on-the-job injury or illnesses.


Every manager/supervisor is responsible for enforcing all safety rules and regulations. In addition, they are responsible for ensuring that a safe work environment is maintained, safe work practices are followed and employees are properly trained.

Performs other related duties as required.


MINIMUM TRAINING AND EXPERIENCE


Requires a High School Diploma supplemented by a minimum of one year of experience in a job related field, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. Must have working proficiency in Microsoft Office programs. Must possess a valid driver’s license.


Physical Requirements : Must be physically able to operate a variety of automated office machines and equipment. Must be able to push, stoop, lift, pull, reach, kneel , climb, crawl, crouch, carry or otherwise move objects. Work involves sitting most of the time, but may involve walking or standing for periods of time. Must be able to lift/carry weights of up 20-40 pounds.
