Job Description:


The City of Naperville currently seeks a highly detail-oriented Administrative Assistant II to provide administrative and clerical support for the Fire Department. This position is responsible for performing a variety of administrative, customer service, clerical and technical activities related to the NFD’s timekeeping and accounts payable/accounts receivable functions. The position reports to the Budget and Administrative Services Coordinator.


Responsibilities:


A main responsibility of this position includes updating and processing timekeeping records as a result of pay and time-off rules unique to the Fire Department which involves: collecting staffing data from each of the ten fire stations on a daily basis; working through pay or time-off errors; managing between shift and staff differences in payroll; responding to and explaining pay and time off matters to employees; and tracking trades, vacation and sick time usage, and other scheduling changes that affect pay on a daily basis. Additionally, this position will: handle accounts payable functions for the NFD including the processing of invoices, check requests, procurement cards, requisitions, and contracts as well as perform accounts receivable functions; book travel requests and register fire department employees for training; acquire general office supply orders for Fire Administration and all fire stations; and interface with vendors and the public. The Administrative Assistant II will also answer phone calls, greet visitors, generate various reports and perform special projects as assigned.


Qualifications:


To qualify for the position, at a minimum candidates must possess a high school diploma (or equivalent). An Associate’s Degree is preferred. Additionally, one to three years’ experience is required in a comparable capacity where high attention to detail and meeting deadlines was a key component of the job. Successful candidates should have excellent communication, time management and customer service skills. They must demonstrate proven abilities to handle confidential information in a responsible manner and to work independently with minimal supervision.


Higher-level candidates will possess accounting/accounts payable or payroll/timekeeping experience. They will have an intermediate-to-advanced computer skills, including Microsoft Excel. They will possess proven abilities to communicate effectively both orally and in writing with internal and external customers. Familiarity with municipal government or fire services is a plus.
