QUALIFICATIONS:
1. A high school diploma or training and experience that are considered equivalent.
2. An excellent knowledge of word processing, typing, filing, and operation of common office equipment, including FileMaker Pro and
Microsoft Office.
3. Three to five years successful experience as a secretary preferred.
4. The ability to greet and deal with public, students, and school staffs courteously and appropriately, both by phone and in person.
5. An ability to handle confidential matters, set priorities, work well under pressure with an attention to detail.
6. Self-motivator, with ability to work with little direction.
7. Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.
REPORTS TO:
Director of Student Services or his/her designee
PERFORMANCE RESPONSIBILITIES:
1. Maintains respect and security at all times relating to strict confidential matters regarding information to and from legal counsel,
employee evaluations, resumes, letters, checks and collection of money.
2. Prepares communications for the Board of Education, including agenda information and weekly Board of Education reports and
updates.
3. Handles inquiries/concerns from staff members or parents requesting appointments. Interacts and listens to legitimate concerns and
makes appropriate referrals. Places, receives and screens telephone calls and records messages.
4. Maintains budget and accounts as well as the district credit card and Petty Cash checking account for the Executive Director of
Student Services. Responsible for the input and management of requisitions relating to the general fund, special account(s) and grant
monies.
5. Retains current files, verifies various forms for Student Services Department staff relating to time sheets, authorization for absence
forms, professional leave forms, conference registration forms and mileage forms.
6. Maintains substitute/stipend information throughout each school year.
7. Maintains current district special education student information (SESI) database, verifying accuracy and verifying data on
EMIS/DASL.
8. Maintains files for all district special education students, reviews incoming records from all building special education secretaries to
verify compliance with legal and district guidelines. Readies inactive files for document storage.
9. Keeps current with the ever-changing special education rules and regulations and provides current forms and documentation.
10. Maintains records, compiles information and arranges tutors for home instruction services.
11. Maintains a schedule of appointments and makes arrangements for conferences and interviews.
12. Prepares and disseminates materials to all areas of the school district utilizing emails, inter-departmental mail, professional
development and department newsletter.
13. Handles requests from the other agencies/schools for special education student records.
14. Maintains records, prepares and mails contracts to various school districts for tuition reimbursement of special education students
living in the Dublin school district, but whose parents live outside of the district; also provides information to appropriate person for
the invoicing of these school districts at the end of the school year.
15. Prepares and submits reports to the State for reimbursement of excessive student cost to the district.
16. Utilizes software applications to design various forms, presentations, databases and publications.
17. Conducts research and does project management.
18. Other duties as assigned by the Superintendent or his/her designee.
TERMS OF EMPLOYMENT:
262 Days (252 work days, 10 paid holidays); 8 hours per day excluding lunch; number of days of vacation and salary as determined by
Negotiated Agreement. Work year to be established by the Board.
SALARY: $18.19/hr.-$22.58/hr.
