This position’s primary responsibilities will consist of various administrative tasks for the Norton Shores service center.
This position requires daily interaction and support to several Managers, Field Leaders and Team Leaders located at the
Norton Shores headquarter.
This position will be responsible for the following:
• Creating and updating vehicle reports (664),
• Distributing work order packets,
• Ordering office supplies,
• Mail services and handling various headquarter postings i.e. job postings, OM&C overtime list, visual management
posters.
• MasterCard reconciliation/payment net,
• Accounts payable,
• Compliance assurance database tracking,
• Assigning and evaluating the results from corporate assessment audits,
• Maintaining the field leader on-call list,
• Scheduling conference rooms,
• Acting as storm logistic coordinator for the west zone work management center,
• Training new admins
In this position you will be required to travel to support additional headquarters within the West Zone: Zeeland, Ludington,
Fremont, and North Kent. This position also requires mandatory On-call rotation for Storm restoration located at the Grand
Rapids Work Management Center.
Requirements/Qualifications
High School Diploma/GED and 3 years of previous administrative experience and office and/or project coordination or
assistant experience in a similar position is required.
Completion of various college level courses in the functional area and/or specialty desirable.
Possess excellent skill proficiency with Microsoft Office suite (Word, Excel, PowerPoint, and Project). Experience with
Microsoft SharePoint is preferred.
Successful candidate must have a proven ability to interact with all levels of personnel while maintaining strict
confidentiality.
Strong proof reading skills required
Ability to work in a fast-paced client-oriented, professional atmosphere required.
Must be able to prioritize workload, work independently and be able to adjust to changing business needs and
circumstances.
Willingness and ability to learn new skills and take on new responsibilities preferred.
Ability to multi-task and prioritize time and strong oral and written communication skills required.

Essential Functions
Performs administrative support functions and more complex tasks including establishing relative priorities of current and
anticipated workload and organizing and conducting assignments according to deadlines. Sets up office systems
including file maintenance, correspondence deadlines, and project management for own work. Provides backup phone
and customer support. Prepares and composes letters, reports, and correspondence and performs other clerical
administrative support duties as directed from time to time. Maintains confidentiality. Performs or establishes procedures
for all clerical functions and actions including phones, filing, and general word processing, tracking of information,
maintaining logs/spreadsheets, and other similar administrative support. Under general direction, prepares special or
one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as
reports, documents, correspondence, other areas of the Company, etc. Ensures that requests for action or information
are relayed to appropriate staff members; ensures that information is furnished in a timely manner; decides whether a
higher authority should be notified of important or emergency matters. Periodically evaluates process and program
effectiveness and takes action to maintain continuous improvement. Follows all safety rules and procedures, and
contributes to the safety of co-workers and the general public. Participates as an active administration team member by
contributing to program development and organization planning. Performs responsibilities in a manner that clearly shows
effective communication and cooperation and that promotes open exchange of information, respect, high ethical
standards and professionalism. Maintains work areas in a clean and orderly manner.
