Our client is a global FMCG organisation with offices in High Wycombe. Due to a restructure they are now in a position to recruit for this brand new role.


They are looking for a well educated (ideally to graduate or A-Level standard) PA/EA with a proven track record of providing executive support in a global, commercial company.


As the Executive Assistant you will provide a highly effective and efficient executive support service to the Commercial Director and to the wider commercial team who head up their commercial and business support functions including: Sales, Marketing, Finance, HR and Customer Services.


We are looking for someone special with initiative, energy, influence, attention to detail, someone able to manage goals, project manage and able to communicate effectively at all levels.



Job Profile:


Duties:
* Responsible for all administration support to the senior commercial team – including diary management and travel arrangements
* Facilities Management of internal office services, Reception and Building Management as representative of lead Tenant
* All aspects of Facilities Management, including management of Reception and Maintenance
* Negotiation and management of 3rd Party Suppliers (eg security, photocopiers etc), controlling Lease Documentation (cars, coffee machines, water machines etc)
* Health & Safety: management of Fire Wardens & First Aiders, risk assessments and accountability as the ‘Competent Person’ on site
* Co-ordination of the Company conference and meeting arrangements as required – including hotel accommodation if needed with focus on lowering costs/rates throughout the business
* Monitoring of departmental budget, and management of General Services budget, and costs in conjunction with Commercial Director. Update figures against the monthly actual and provide commentary with action plans to ensure that spend remains within agreed levels
* Verification and arranging sign off of all invoices as per departmental procedures
* Managing commercial projects as allocated
* Management of the Company mobile telephones
* Top level support to Commercial Team – including diary management, travel requirements, presentation preparation. Management and coordination of commercial meeting calendar, management & follow ups from meeting e.g typing up notes and follow up actions with colleagues
* Co-ordination of communications to total Commercial Team
* Travel and movement including itinerary/expenses monitoring
* Maintenance of annual holiday and sickness records within the commercial team
* Management of Plan on a Page communication to the team
* Responsibility for ensuring notice boards updated
Skill/ Personal Profile:


* Graduate or equivalent in commercial related subject
* Solid experience within a busy sales/commercial environment
* Previous Facilities Management experience
* Project management experience
* Strong computer skills in Microsoft Outlook and Microsoft Office, ideally advanced level of Excel, e.g. Pivot tables and Vlookup as a minimum
* Presentation and multimedia expertise
* Basic understanding of commercial P&L, ability to interpret a commercial report and manipulate the data
* Good organisational and analytical skills with ability to prioritise
* Excellent communication (verbal and written) and influencing skills allowing building relationships across the organisation
* Flexible in changing environment and self-motivated to achieve set goals
* Initiative – proactive in solving problems
* Ability to contribute to team effectiveness
