Job Summary:
The Birth Certificate Specialist demonstrates professionalism and expertise in gathering information from the new parents (married, unwed, American, or of other ethnic background) and the medical record needed to complete the birth certificate.
The Lead Birth Certificate Specialist position will assist and support the Labor and Delivery Billing Specialist. Must have a working knowledge and operational understanding of guidelines and procedures related to patient care allowing this individual to extract information from written patient care reports and enter this information into a data base. Must have working knowledge of accounts receivable and data entry as it pertains to Labor & Delivery. Demonstrates knowledge of medical terminology. This person is responsible for assisting with charge entry, assisting with auditing charts to determine if all applicable charges have been submitted for charge entry, assisting charge entry coordinator with collecting and reporting monthly patient and procedural statistics, making sure the registration status of the patient is correct prior to entering charges (outpatient vs. inpatient), working with other departments as needed to correct registration and billing errors, and periodically assisting with auditing coded charts to determine if all appropriate codes are on the chart relative to the actual acuity of the patient (must have or develop working knowledge of coding for obstetrics).
Gathers information by utilizing computer equipment and individual communication skills to accomplish various tasks. Audits patient accounts and accounting processes in Labor & Delivery. Performs various other related responsibilities, and follows written guidelines and protocols when necessary; assists with maintaining cleanliness and efficiency of the Labor and Delivery Department. Performs other miscellaneous duties as required by the Nurse Manager.
Must have excellent verbal and written communication skills. Computer proficiency required. Demonstrates sound judgment and organization ability. Must maintain records with accuracy.
Education:
Required: High School diploma (or equivalent).
Preferred: Associates degree in business or related field.
Experience:Required:
Preferred: One year experience within a medical records department with emphasis on birth certificate information preferred.
Two to three years experience in Obstetrical coding and charge entry or related business field.

Department Position Summary:
The Birth Certificate Specialist will keep current with updated state and federal laws regarding birth certificates and the acknowledgment of paternity. All birth record totals will be current with that of the Medical Records Department and the state. Births, as well as all infant deaths will be reported to the state as required. As a notary public, the birth certificate specialist may notarize legal documents, as well as living wills and powers of attorney, for Erlanger Health System. Gives out patient gift packs and /or other marketing items as necessary.
The Lead Birth Certificate Specialist will review patient charge documentation and enters charges in billing system on a timely basis. Assures that charge documentation is accurate and complete. Clinical competency is evaluated annually using a variety of mechanisms. It focuses on the population-specific needs of the customers served by the staff member.
