EDC has an opening for an International Administrative Coordinator (I), in the International Development Division (IDD) reporting to the IDD Vice President for Waltham. This position is located in EDC’s headquarters in Waltham, MA.
ABOUT THE INTERNATIONAL DEVELOPMENT DIVISION
EDC’s International Development Division (IDD) focuses on four major areas: literacy and basic education, youth livelihoods and workforce development, health, and the application of technologies. Within these four areas, programs support national school reform efforts, skills development, HIV/AIDS prevention and other health promotion, and communities and local governing bodies. Another key strand of EDC’s international work focuses on helping countries expand economic opportunity and build civil society.
POSITION SUMMARY
The International Administrative Coordinator supports administrative, communications and financial functions in the division, coordinates events, monitors budgets, and helps coordinate travel arrangements for staff. The position supports all activities in the division. The Administrative Coordinator will provide administrative, financial and research support. While the work includes administrative duties, it is seen as the opportunity for the right candidate to progress to serious and substantive growth in international development in the areas listed above.
ESSENTIAL FUNCTIONS
The person in this position is expected to communicate clearly and courteously; to develop and maintain positive relationships with clients, consultants, collaborators, co-workers, field sites, and funders; and to work respectfully with EDC colleagues. Operating with significant autonomy & discretion on behalf of center, project, or department management, the Administrative Coordinator
• Coordinates activities and services including
- staffing and scheduling
- budget or proposal preparation and control; financial analysis, tracking, and reporting
- organization, upkeep and management of space, equipment and supplies
- technology coordination
- records management & control and forms development
- meeting management or coordination of conference logistics
- travel arrangements for staff and visitors (visas, flights, hotels, etc.)
• Analyzes activities, services and systems; recommends revisions for efficiency and control
• Monitors information, notifying staff or management of findings or trends requiring action
• Independently performs complex assignments requiring knowledge of content area and administrative systems; solves complex problems
• Performs various assigned duties to balance workload
• Interprets and ensures compliance with policies and procedures.
• May handle complex or confidential matters requiring considerable discretion & judgment
• Review and reconcile travel expense reports, petty cash, and vendor invoices for IDD staff
• Serve as backup for project staff
• Research, compile, and synthesize information including written, audio and video material from projects for publication, use on IDD website, interactive exhibits and other appropriate venues; disseminate information, including website content
• Maintain records, organize, display and archive IDD technical resources, as well as online via the Intellectual Property Database and other appropriate sites
• Draft or translate materials as needed
• Provide basic graphic design and formatting support for final publication
• Assist in identification, recruitment, and servicing of technical consultants
• Monitor contractual compliance
• Draft reports & briefs
• Contribute ideas for improved efficiency or future focus
• Support project procurement and maintain records on procurement initiatives
• Assist in division shipping and mailing functions
• Draft training materials for administrative procedures for staff; provide face-to -face training on administrative procedures when necessary
• Manage the project contact database for over 30 active projects in more than 25 countries, generate reports using Microsoft Access and publish documents to the IDD sharepoint website
• Manage IDD Office 365 Project Site Collections

• Coordinates issue clarification & troubleshooting
• Coordinates with vendors, subcontractors, or staff to deal with administrative needs or identify information needs
• Collaborates with Information Technology staff to coordinate center-wide initiatives
• May train regular or casual support staff to meet workload deadlines; may provide close administrative or technical supervision to 1–2 staff
• May be expected to travel to EDC offices in Washington DC.
QUALIFICATIONS
This position requires educational achievement; excellent writing skills; demonstrable initiative, creativity, and flexibility; ability to work independently and effectively in groups; and strong interpersonal & organizational skills. Specific requirements:
• Bachelor’s degree
• Master’s degree or equivalent combination of training & education in a related field preferred
• 2-4 years related research, education, international development or administrative coordination experience, requiring computer competence
• Strong organizational & analytical skills and aptitude for details
• Fluency in a second language preferred, with preference for French, Spanish, or Arabic
• Experience in communications (graphic design, blogging, social media) preferred
• Proficiency with Adobe Creative Suite (Indesign, Photoshop) and Microsoft Office
• Experience with Office 365 site management
• Experience with Drupal Website management preferred
• International experience preferred
