Job Description The New Business Development Unit (NBDU) Coordinator is based at the International Office (IO) and provides strategic support to the NBDU to facilitate communication and effective coordination between NBDU, other PODD units—Operations Unit, Technical Services Unit, Monitoring and Evaluation Unit (M&E) — the field, and the Development Department, with a particular focus on the areas of: (1) Proposal and Program Report Development; (2) Information Management and Dissemination; (3) Donor Stewardship and Relationship Cultivation; and (4) General Support Duties. The NBDU Coordinator directly supports research and analysis on new funding opportunities and donor prospects, specifically in support of programs. The NBDU Coordinator works in coordination with other PODD support positions to maximize efficiency of all PODD efforts, and to ensure that all department functions related to donor and partner relationships are fully supported, especially during peak times.
Key Duties and Responsibilities:
1. Proposal Development Support (25%-40%)
- Drafting, formatting, editing and finalization of proposal or report content and attachments.
- Setting up meetings and calls in support of proposal teams, program design workshops/plans; taking and distributing meeting notes.
- Supporting repackaging of existing proposals for different donors.
2. Program Reporting Support (10-20%)
- Supporting the maintenance of the donor reporting system (monthly reminders, report tracking tool and filing, creating report templates, etc.), including anticipating key donor deadlines, acting as first reviewer on assigned reports and working with program and field staff to prepare quality submissions .
- Making recommendations to improve and take maximum advantage of the program reporting process, in terms of both efficiency and quality of information; supporting efforts to proactively utilize reports to build donor relationships and prepare for grant submissions for follow-on support, especially with private (non-USG) donors.
3. Information Management and Dissemination / Key Information Systems (15-20%)
- Supporting maintenance of and proactively strategizing on the streamlining and improved utilization of all NBDU-relevant information systems and reports to inform strategic decision-making on funding opportunities; cultivation of key relationships (Donor Relationship Module/CRM, Talent Database); and strategic tracking of program information (i.e. Capacity Materials Database) and other databases as needed.
- Assisting with data entry and retrieval into/from key information tracking systems and databases, and supporting the design and creation of relevant reports, including but not limited to NBDU and Operations quarterly reports to the Board of Directors.
- Supporting documentation and sharing of key program achievements as requested for internal and external audiences, drawing upon program information databases, recent proposals and reports.
4. Donor Stewardship and Relationship Cultivation (20-30%)
- Supporting NBDU efforts to gather information about potential donors or partners, research new funding opportunities and target prospects, analyze grant/funding application guidelines and summarize analysis for dissemination.
- Maintaining record entry and ongoing quality assurance processes in the Donor Contact Relationship database ensure accuracy of information entry to ensure maximum value for multiple uses and applications.
- Coordinating with NBDU and Development to design and produce relevant reports to support donor stewardship.
- Developing/revising marketing materials and capabilities statements for partnership cultivation; organizing and continually updating capacity materials and similar program documentation.
- Supporting annual report mailing, especially for programs (PODD) donor and partner contacts.
5. Other Support Duties (10%)
- Supporting development of PODD tools and orientation materials/trainings.
- Conducts research and prepares presentations on topics as requested, using Adobe Acrobat, Microsoft Excel and Powerpoint, Prezi and other similar programs.
- May support ongoing recruitment and vetting processes for consultants to support PODD units with proposals, reports, workshops and other deliverables.
- Coordinate with PODD Administrative Assistant to ensure adequate coverage of administrative support to all members of PODD (travel and meeting preparation, scheduling, mailings, check requests, photocopying, printing, filing, purchasing, etc.) and field offices as requested.
- Covers the front desk as needed.
- Other duties as assigned
Position Parameters/Special Responsibilities Required
- May require overtime during peak periods.
- May require local travel.
Required Qualifications:
- Bachelor’s Degree or relevant technical training with 3 additional years of work experience.
- 2 to 3 years of professional experience.
- Excellent communication skills including writing, verbal and interpersonal relations and cross-cultural communication required.
- Excellent organizational and time-management skills, detail-oriented, including ability to prioritize and manage multiple tasks independently, and work in a deadline-oriented environment.
- Ability to take initiative, develop/propose solutions, anticipate actions, and to use creative means to complete tasks.
- Ability to work as an integral part of a team, taking guidance and input from a variety of staff and willingness to learn from and respond to constructive criticism.
- Excellent computer skills including word processing (Microsoft Word), spreadsheets (intermediate level Excel or better preferred), presentations (PowerPoint), and graphics – familiarity with database programs a plus
- Strong research and writing skills
- Written and spoken Fluency in English (required) and Spanish (preferred).
