Minimum Qualifications:
Education: Possess a high school diploma or GED.
Experience:
At least one year of experience providing medical administrative support services (all positions)
Must possess experience using basic software applications, such as Microsoft Word and Excel (all positions)
Must posses familiarity with medical terminology (all positions)
Experience with CHCS/AHLTA preferred (all positions)
Knowledge of Military Health System standards and policies preferred (all positions)
Experience with patient appointments, scheduling, charts, physicians’ orders, and medical data (position specific)
Experience in medical billing and coding (position specific)
Experience with medical insurance claims processing (position specific)
Experience in a Dental environment (position specific)
Knowledge of DENCAS Pro scheduler (position specific)
Security: Must be a US Citizen and must be able to pass a government background check
Schedule:
Normal operating hours of 0730 and 1630, Monday through Friday
No Weekends or Holidays
Job Specific Details and Tasks:
Patient Administration Support Services – Naval Dental Center
Read, write, speak, and understand the English language fluently and maintain professional interpersonal communication with clinical staff, patients and other health care personnel.
Basic dental terminology
Perform a variety of administrative and clerical duties requiring a knowledge of office routine and an understanding of the Naval Dental Center’s organization programs and procedures.
Register patients using the Corporate Dental Application (CDA) / Corporate Dental System (CDS)
Log all patients onto appropriate patient log.
Schedule appointments and enter data using Corporate Dental Application (CDA) / Corporate Dental System (CDS)
File dental records and other correspondence in compliance with Navy governing directives.
Generate referral paperwork.
Answer telephone and direct inquiries to appropriate staff member.
Maintain filing system and file dental documents and reports.
Enter and submit work hours through DMHRSI system on a bi-monthly basis (workload tracking only).
Training completed IAW Dental Department SOP.
Medical Records and Readiness Support – Naval Dental Center
Establish and maintains dental records in accordance with Dental Department SOP.
Verify all necessary forms and documents are present, accurate and complete in accordance with requirements.
Analyze records for consistency, use of proper dental terminology and compliance with Health Insurance Portability & Accountability Act (HIPAA) requirements.
Identify inconsistencies and discrepancies and take measures to correct anomalies and errors.
Research, compile and assemble information at the request of the Dental Department.
Advise the Medical Records Custodian of any requests for HIPAA from a civilian physician, insurance agent, legal office, or any agency outside of the DoD.
Compile reports as directed and input data into the Dental automated system.
Work effectively as a member of a social services/health care delivery team.
Create telephone consults in AHLTA to transfer referral results to providers for viewing and electronic signature.
Review and transfer all results from Bright Fax system to AHLTA per current instructions.
Examine Identification Cards for active duty, dependents and retirees to determine eligibility for care and identity.
Conduct 100% eligibility screening on all walk in patients using DEERS.
Report any violations in policy, instructions, regulations, statutes, or directives which compromise the security and integrity of the medical information contained in a patient’s HTR to the Medical Records Custodian.
Answer incoming telephone calls and refer all calls to the appropriate personnel.
Training completed IAW Dental Department SOP.
Medical Administrative Support – Naval Hospital and Clinics
Provides a wide range of medical administrative support to hospital inpatient and outpatient units, as well as associated branch health clinics.
Medical Transcription Support
The contractor shall accompany the physician during the patient encounter and transcribe the encounter in real-time as indicated by the provider to document the Electronic Medical Record (EMR). The contractor shall collect and transcribe a variety of clinical data from each patient into the EMR during the encounter. Clinical data includes, but may not be limited to, the patients’ interpretation of the present illness, interim history, documenting outside medical records, test results, medications, past medical/surgical history, allergies, family and social history.
The contractor shall modify the EMR draft as indicated by the physician at the end of the encounter to ensure accuracy of information before the provider validates the record.
The contractor shall provide monthly workload statistics to the Contracting Officer Representative (COR). Reports shall be submitted by the 10th day of each month. Reports shall include the rate of documentation accuracy (number of times the provider corrected documented information), number of encounters attended and documented (indicating daily amount of encounters), and critical errors identified.
The contractor shall identify and report critical errors (ex. inaccurate data entry, vital signs, medications, problem, etc.) to the physician and the COR immediately.
