Work Setting


This role will report directly to the Chief, Finance Branch. There are approximately 30 professional and general service staff in the Branch, though this independent role will itself not involve supervision of staff.


The Finance Branch is responsible for global financial management, issuance of donor, management and statutory reports, support to and monitoring of field offices on all financial and accounting matters, management of corporate accounts and the continuous development of corporate financial policies and guidance. The Branch plays a key role in the custody and oversight over appropriate use of financial resources, monitoring of financial transactions and the strengthening of ongoing compliance with the International Public Sector Accounting Standards (IPSAS). The Branch comprises the Accounts Section and the Data Management Unit. The Accounts Section itself is divided into four teams – Payments; Statutory Reporting; Revenue and Donor Reporting and Global Monitoring and Advice.


Job Purpose


The incumbent will provide administrative and secretarial support to the Finance Branch. The role will encompass, inter alia;


  1. Scheduling the calendar of the Chief, Finance Branch and Chief, Accounts Section

  2. Organizing and providing logistics for meetings e.g. organizing conference rooms.

  3. Researching and booking travel arrangements for branch staff.

  4. Branch focal point for time and leave recording.

  5. Prepare Branch leave and travel plans.

  6. Log, distribute and follow up for action incoming mail

  7. Records management and filing.

  8. Conducting basic research on behalf of Chief.

  9. Preparation and dissemination of various branch communications.

  10. Prepare meeting minutes and action plans as requested.

  11. Maintain Global Directory for branch staff.

  12. Maintain office supplies

  13. Raise limited requisition at request of Chief.

  14. Issue receipts and bank checks received for reimbursement of travel advances, etc.

  15. Other duties as requested by Chief

Profile of Candidate


Completion of secondary school education. Experience working in an administrative or support role in a busy office, ideally finance related background/experience. Good knowledge of MS Word and Excel (and ideally an ERP, preferably PeopleSoft). Ideal candidate would have experience of working in a UN system organization. Good organizational, communication and time management skills. Experience of delivering results in a pressurized environment. Good knowledge of English language.
