Receptionist (Part Time) - Brynn Marr Hospital - Jacksonville, NC

Since 1983, Brynn Marr Hospital has specialized in quality

behavioral health services for children, adolescents, adults and

senior adults through a comprehensive, integrated system of inpatient

treatment and residential programs. Our purpose is to offer caring,

effective behavioral health services for children, adolescents,

adults and senior adults throughout North Carolina who suffer from

mental illness, chemical dependency or developmental disability.


This is a part time position (typically 16 – 24 hours per

week). Scheduled shifts/hours will vary weekly

and include days, evenings, weekends, and holidays between the

hours of 8am and 8pm. Receptionists operating hours are 8am –

8pm Sunday through Saturday.


Position Summary


The receptionist is the first

line of contact for employees, patients, visitors, and guests by

greeting in person and by telephone. The receptionist facilitates the

work of hospital staff by facilitating the flow of information and

accomplishment of the organization’s objectives. Provides

clerical support to various staff members as needed.


ESSENTIAL FUNCTIONS:


• Greets and announces all

visitors in a polite and professional manner.

• Answers

facility telephone calls promptly and responds professionally to

needs of the caller.

• Directs all calls and/or messages

to the appropriate person and/or unit in a timely manner.

• Directs visitor and patient flow in the lobby/visitor area.

• Assists in inventorying patient belongings and

valuables.

• Notifies units as needed for admissions,

discharges, passes, etc.

• Assists with tasks/clerical

support for other departments as requested.

• Works with

housekeeping department to ensure that the front entrance and lobby

floor is free from mud, debris, residue from inclement weather, and

other factors that may cause Slips, Trips and Falls (STFs).

• May encourage employees and visitors to use umbrella covers

(provided at the front entrance) during inclement weather.

• Reports all potential HIPAA violations to supervisor.

• Ensures the orderliness and overall organization of the

reception are and lobby throughout the workday.



Maintains the working order of unit machines (fax/copier/phones) with

the assistance of appropriate staff.

• Maintains visitor

sign in log, collection of signatures, provides visitor badges and

recording of entrance and exit times.

• Signs out keys for

employees / vendors and logs appropriately.



Communicates, cooperates and performs related duties with other

members of staff in a courteous and efficient manner to achieve

overall facility goals and objectives.

• Updates the

Receptions Department handbook and other department policies as

directed and approved by department director.

• Updates

departmental forms as directed.

• Assists in training of

new staff members.

• Provides feedback to department

director on co-worker performance, department issues/concerns,

improvement suggestions and other relevant matters.



Disseminates information to department via memos, communication log,

meetings, etc.

• Models Service Excellence standards in

accordance with department’s annual Service Excellence goals.

• Other duties as assigned by management.

Requirements


Minimum Qualifications


1. Education: High School

Graduate or Equivalent

2. Experience: One (1) year

secretarial/administrative assistant experience preferred; one (1)

year experience in healthcare field preferred.

License/Certification: N/A

4. Physical Requirements: Position

requires extensive sitting, typing, and medium bending and pulling

motion, with minimal walking and/or standing.

regarding hospital’s Fire Alarm System including

receptionist’s responsibilities.

• Knowledge and

understanding regarding “Dr. Staff Ward” Alarm system and

use of panic buttons.

• Ability to utilize intercom/paging

system.

• Knowledge of patient census for department need

and patient identifiers.

• Demonstrates verbal

understanding of our patient I.D. code to protect patient information

and confidentiality.

• Ability to notify relative

departments for deliveries and message receiving.



Knowledge of supply order process for reception needs.



Ability to process meal tickets for staff and accountability for

balancing and refunding of cash.

• Knowledge of handling

medical record request forms.

• Knowledge of hospital

vehicle log for check-in/out use.

• Knowledge of taxi

voucher system.

• Knowledge of locker/key system for

visitors.

• Ability to direct potential employees to

UHS’s website for hospital and employment information.

• Knowledge of key signing out process for employees.

• Computer skills necessary to perform job functions.
