Job Summary:


This full-time position will be split evenly between providing administrative support to the Talent & Capacity Building Director and a team of Talent Acquisition Specialists (TAS) within the Human Resources Division of CRS Headquarters.
Specific Responsibilities: Job Posting and Advertising:


  • Post and advertise open jobs within 36 hours to varying external websites

  • Works with TAS to implement creative and cost-effective sourcing strategies to attract and source candidates

  • Stay informed of trends and innovative recruiting techniques to attract qualified staff

  • Negotiate advertising costs with advertising counterparts

  • Manages advertising expenses and communicates such recruiters

  • Keep all parties involved informed of expense and budget trends

Administration:


  • Assisting TAS in coordination and scheduling of interviews

  • Complete Bridger verifications

  • Complete Talent Acquisition Group (TAG) invoicing

  • Coordinate attendance in job fairs, including maintaining a schedule of TAS participation and associated invoicing

  • Work with travel vendor and staff to book relocation travel

  • Track and administer payment of referral bonus program

  • Maintain internal TAG SharePoint site with current and updated team documents

  • Keep TAG weekly team meeting minutes

  • Backstop TAS on other duties as assigned

Director Support:


  • Answers and screens incoming calls, using discretion in handling/distributing calls. Creates call list for follow-up and tracks accordingly.

  • Performs keyboarding, messaging, and copying and filing. Creates files and maintains electronic and manual files as needed, keeping them up to date and ready for use.

  • Answers questions from employees or directs employees to the proper person within HR.

  • Handles confidential matters with tact, discretion and professional judgment. Respects individual"s right to privacy.

  • Makes recommendations so meetings run smoothly including proper AV equipment, speaker phones, etc. Sets up proper meeting reminders. Gathers documents and prepares files to help in meeting prep.

  • Manages sensitive employee data, including salary data.

  • Formats, edits, proofread, reproduce and distributes materials. Produces documents, PowerPoint presentations or spreadsheets using Microsoft tools.

Required Qualifications and Experience:

Bachelor"s degree in a related field preferred.


  • At least one year of relevant administrative support experience required.

  • Demonstrated ability to apply Catholic Social Teaching principles and represent CRS and its programs

  • Able to handle confidential information with discretion

  • Strong customer service orientation

  • Proven ability to exhibit strong organizational skills in a fast-paced environment

  • Proficiency with Microsoft products including MS Outlook, Word, Excel, SharePoint and PowerPoint.

Normal conditions for an office environment, based in Baltimore at CRS" headquarters.
