Administrative Assistant/Receptionist - Pierce Transit - Lakewood, WA


The Position:
Under general supervision, provides complex and varied clerical and support services. Essential functions: serves as the Agency receptionist; responds to in-person and telephone inquiries from employees and the public; provides information requiring knowledge of departmental policies and procedures; utilizes personal computer equipment and Microsoft Office Suite to format and produce a wide variety of correspondence, reports, tables, forms and Agency publications; proofreads and edits own work as well as others’ for appropriateness of style, format, grammar, punctuation and spelling; suggests improvements; creates master formats for own and others’ use; prepares agendas; takes, prepares and distributes minutes; operates calculator, copier, mailing equipment, fax and other related office equipment; opens and distributes mail; maintains various electronic and paper files; establishes and maintains filing and record keeping systems; catalogs, codes and compiles information from various sources; maintains confidentiality of information at all times; performs other related work as assigned.


Starting wage: $19.05 per hour Wage range: $19.05 – $23.43 per hour, paid on a bi-weekly basis.


Required Knowledge and Skills:
Knowledge of: Advanced administrative support principles; customer service principles; data entry and archival methods; and modern office equipment. Skill in: Providing advanced administrative support functions; using a multi-line phone system; providing customer service to a diverse group of individuals, both in person and over the phone; organizing and maintaining files; proofreading and editing materials; handling multiple tasks simultaneously; composing correspondence; preparing reports and presentation documents; managing time; providing attention to detail and accuracy; and utilizing a computer and relevant software applications.


Minimum Qualifications:
Required: High school diploma or GED equivalent and a minimum of two years progressive office or customer service experience in a mid to large-size company; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above. Must be able to type accurately using a computer keyboard and operate a ten-key calculator by touch. Proficiency in grammar, spelling and punctuation must be demonstrated. Desired: Two years of additional education in office procedures, word processing and/or business administration. Special Requirements: Occasional and infrequent moving of boxes, trays or bags weighing up to 40 pounds from floor to counter top height.
