Receptionist / Administrative Assistant - Legacy Village of Jacksonville - Jacksonville, AL





Position Summary:
Welcome visitors and answer incoming calls in a warm, pleasant and professional manner. Maintain a clean and neat reception area, handle specific resident services, and seek administrative support as needed.

Primary Responsibilities:
Customer Service


Possess and maintain knowledge of the residence, its benefits, services provided, the customers, and employees.

Answer incoming calls, both internally and externally, in a warm, pleasant and professional manner.

Respond to all calls following proper telephone etiquette and taking detailed messages when appropriate.

Ensure that messages are relayed promptly to the intended person.

Greet all visitors, residents, family members, and employees in a warm and helpful manner.

Ensure that the reception areas are clean, neat and inviting.

Offer refreshments to visitors and make them feel welcomed and comfortable.

Coordinate appointments for residents requesting transportation or hairdressing services.

Collect the residents’ mail and prepare it for distribution.

Provide other assistance with resident services as requested by supervisor.

Assist with other duties as assigned.

Administrative


Receive and send packages for the Executive Director or other departments as requested by your supervisor

Assist the Community Consultants in handling inquiries as necessary.

Assist the Community Consultants in preparing for new residents’ move-in as requested.

Assemble residence brochure packets and mail as requested.

Distribute mail to the Executive Director and other departments daily.

Keep accurate records of any resident charges for transportation or hairdressing services.

Assist the executive director and/ or other departments with additional administrative duties as assigned.

Qualifications


Excellent customer service skills

Good organizational skills

Mature, cheerful personality

Desire to work with older adults

Knowledge Requirements


Telephone etiquette and customer service

Thorough knowledge of the residence, residents, services provided, and employees

Any additional required training
