These positions are located in the Chief of Staff’s Office (COS) and the Associate Director for Patient Care Service’s Office (ADPCS). While administrative staff members in these offices are operationally supervised by the designated manager for daily work accomplishment, quality of work and customer service, the lead administrative person for the COS/ADPCS has responsibility for coordination of the Executive Office Staff. Your duties may include, but are not limited to, the following: · Serves as the educational and orientation leader for service secretaries and ensures that other service secretaries are appropriately oriented and trained to overall medical center processes to facilitate a seamless administrative support network; · Directs the workflow of an office and independently makes decisions about processes that will promote the effective, timely and organized functioning of key leadership of the medical center; · Establishes web-based processes that promote communication and access to those with a need to know; · Receives visitors and telephone calls from operating officials, high level VA officials, members of Congress and their representatives and other public officials and staff personnel; · Provides the Medical Center COS/ADPCS with information necessary prior to receiving visitors or phone calls; · Resolves administrative problems by obtaining necessary information; · Makes written summarizations of appropriate official calls or visitors received; · Makes commitments for the COS/ADPCS and recognizes the importance and urgency of appointments when scheduling times; · Arranges the COS/ADPCS’s calendar, making appointments, speaking engagements and conferences to preclude conflicts; · Makes commitments for the COS/ADPCS to submit reports or other requested information.
