Responsible to: Curriculum Finance Manager
Purpose of the role:
To assist the Curriculum Finance Manager in the budgeting and cost control of the School’s Curriculum programmes and productions. The job will also involve the running the School’s in-house shop (located within the Accounts department) providing an excellent level of service to both staff and students. The shop sells/issues mainly consumables items used in the production of student films and curriculum studies
A degree of flexibility is required within the department and from time to time it may be necessary to take on other duties to cover for holidays, sickness, and NFTS events. Therefore it is desirable that all staff are conversant with the main elements of accounts.
Core duties and responsibilities include but are not limited to:
In-House Shop
Serve customers
Ensure stock issues are correctly authorised, coded and input daily on to the School’s accounts system
Keep / anticipate working levels of stock based on activities
Source new suppliers and liaison with suppliers to ensure best prices obtained
Receive delivery of stock and enter to system
Respond to requests to keep new stock lines
Update the price list and stock code list – to be available at all times
Input of sales relating to Chiltern Rail tickets
Respond to telephone enquiries
Shop Cash Sales
Calculate and charge VAT on sales for personal use
Purchase ledger
Issue purchase order numbers, raise purchase orders, raise new supplier accounts, reconcile supplier statements, reconcile outstanding orders
Assisting the Curriculum Finance Manager
Assist in the acquisition of information and provision of cost reports in order for the Curriculum Finance Manager to compile informed budgets and cost reports for Management, staff and students
Provide cost statements and regular updates on outstanding purchase orders and cash floats
Cash float and receipts reconciliation
Sort weekly invoices by department, for authorisation
Filing of paperwork
NFTS Bar
Establish and maintain a stock control system for drinks and snacks
Weekly stock control and compilation of student time sheets
Monthly analysis of sales and expenditure
Other
Any other duties reasonably associated with the job
Person Specification:
Good understanding of the use of IT in the office, and experience of Microsoft Office is essential
Proficient keyboard skills, and a high degree of accuracy and attention to detail as well as a high level of numeracy skills and the ability to organise and prioritise the work load.
A passion for the film, TV and games industries, and a desire to assist students in their studies.
