Office Support Generalist job - Washington County, MN - Woodbury, MN

MINIMUM QUALIFICATIONS : This position requires a High School diploma and six months of office or customer service experience, or equivalent. Completion of a recognized business school program is preferred and may be substituted for experience.

RESPONSIBILITIES : Responsible for the ordering, receipt, and supplying of library materials as part of a program of interlibrary borrowing and lending between libraries throughout Minnesota and the region. Enter data into various online systems used in the lending, requesting and tracking processes for interlibrary lending. Assist library staff in resolving interlibrary loan questions. Prepare, send and receive materials using various courier services. Provide general clerical support to library staff.


DESIRABLE EXPERIENCE :


  • One or more years of work experience doing data entry

  • Six months or more work experience in inventory control

  • One of more years experience in working in a library

  • Six months or more work experience using Microsoft Office, Word, Outlook and Excel applications

SELECTION TECHNIQUE : Your training and experience will be rated based on the required application material submitted and the top scoring candidates will be forwarded to the hiring department for further consideration.


HOURS / DAYS : 8:00 a.m. – 12:00 p.m., Monday-Friday. Work schedules (hours and days) and location are subject to change based on department needs.


JOB SUMMARY:


The Office Support Generalist provides word processing, record keeping, reception, mail processing support and other duties as assigned.


This job classification can be found in several departments and/or divisions throughout the County. Because the position varies slightly from department to department, essential functions will be provided for specific positions when vacancies are being filled.

DUTIES & RESPONSIBILITIES:


Provide office support:

• Prepare routine or complex correspondence requiring specific knowledge of methods, procedures, policies or other information;

• Complete a variety of forms;

• Process, sort and check department documents for accuracy and file them;

• Post and balance bills or receipts;

• Process departmental bills and purchase orders;

• Accept and process cash fee transactions;

• Perform data entry;

• Maintain computer or manual logs;

• Prepare new office files;

• Process and deliver mail;

• Maintain supply inventory;

• Maintain records for departmental accounting purposes;

• Provide customer service at a service counter or reception desk; and

• May operate the switchboard

• Perform other duties as assigned.


WORK ENVIRONMENT


Work performed is sedentary in nature, and typically performed within the Government Center, satellite office or Library. Lifting requirement of up to 50 pounds on an occasional basis. Equipment used may include, but is not limited to, computer, typewriter, calculator, telephone, camera, and microfiche reader, cash register, and copy and fax machine.

Work interruptions are frequent. There is some pressure associated with dealing with individuals who may be emotionally charged and with project or activity deadlines and details. Driving or riding to work at a service center, attend meetings, participate in or lead training sessions, etc. may be required. May involve exposure to environmental conditions.
