Essential Duties and Responsibilities:
The following duties are normal for these positions. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Assist the general public and City staff with reserving athletic parks, buildings and equipment for a variety of athletic events and sports activities, as well as the class registration process.
- Provide reservation (classes and facilities) and general public customer service at the front counter, via the computer and over the phone.
- Process facility applications, permits, payments, refunds, receipts, changes and cancellations utilizing a computer.
- Assist with sports allocation schedules, non-profit requirements, tournaments and calendars.
- Enforce reservation policies, take reservation requests, and review applications, accompanying documents and fees to insure completeness and adherence to applicable city policies.
- Categorize reservation requests for appropriate fee schedules including calculating and determining fees and deposits for facility reservations and troubleshooting bookkeeping errors.
- Perform a variety of general computer and clerical tasks, including typing, data entry/retrieval, copying, filing, faxing, e-mailing and handling heavy phones.
- Ability to successfully interact with the general public, various community groups and all levels of City staff as well as work cooperatively with team members within the Athletics section.
- HOURS: Up to 19 hours per week; shifts will be scheduled within these core hours: Monday-Thursday 1:30-5:30 p.m. and Fridays 11:00 a.m.-5:00 p.m.
Minimum Training and Experience Required to Perform Essential Job Functions:
- Completion of High School or equivalent and one year of responsible clerical and customer service with demonstrated knowledge of computerized database systems.
- Knowledge of CLASS software program, athletic facility reservations and event/tournament procedures, desired.
- Ability to effectively listen and respond to public’s needs in locating services, information and assistance in a professional, courteous and enthusiastic manner.
- Proficiency in computer word processing, spreadsheets and data entry.
- Ability to manage multiple priorities in a busy work environment.
- Ability to follow directions and accurately record/complete detailed requests.

THE DEPARTMENT
The Community Services Department has developed over the City’s history into an award winning mixture of programs and services. The Department employs 114 full-time and 500 part-time personnel and operates under a $28 million budget. Community Service programs/functions include Senior Services, Child, Youth, and Family Services, Animal Care, Recreation and Park Services, Disability Services, Athletics, Aquatics, Fine Arts Center, Facility Reservations and Contract Classes, Facility Maintenance Services, Public Facility Construction and Rehabilitation, Development and Park Planning, Open Space, Community Relations, Volunteer Coordination, Public Information and Special Events, and Transportation Services (TRIPS).
The Department oversees development and maintenance of over 700,000 square feet of high quality public facilities, creation of community and neighborhood park systems, and operation of existing parks and facilities, which includes: athletic fields and two aquatic centers; eighteen community parks; two senior centers; seven community centers; a Fine Arts Center; thirty-two neighborhood parks; an adventure playground; a nature center; an animal care center; and a skate park.
