Responsible for performing a set of highly diverse administrative duties in support of a busy and growing Biotech company. This position will provide general office administrative support to the organization including receptionist responsibilities. This is a full-time, key position and requires a high level of detail, accuracy, organization and follow-through and is central to the daily operations of the office.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Handle an extensive array of administrative tasks including preparing expense reports, managing conference room calendars, receiving incoming faxes, and checking general voicemail daily.
- Support HR Department by preparing onboarding packets, facilitating various onboarding activities, scheduling interviews for three office sites, including arrangement of travel for out-of-town candidates, and assist with other HR projects as needed.
- Receive and direct guests, maintaining visitor log and issuing badges.
- Coordinate all onsite and offsite company events in conjunction with the Events Committee.
- Support the activities of the Environmental Health & Safety Committee.
- Manage ordering of food for onsite office functions and in-house meetings.
- Order all office and kitchen supplies, keeping the kitchens and supply room well stocked and organized.
- Receive, sort and route incoming and outgoing mail and packages.
- Liaise with Facilities to monitor and track work order requests.
REQUIREMENTS:
- Minimum 4 years of administrative experience.
- BA/BS degree preferred.
- Outstanding communication and interpersonal skills with the ability to interact with all levels of management and guests.
- Proven mastery of Office applications, including Word, Excel, PowerPoint and Outlook.
- Strong organizational and prioritization skills.
- Detail oriented, able to think and work independently with little direction.
- Ability to handle confidential and non-routine information with discretion.
