The Elizabeth Glaser Pediatric AIDS Foundation is a global leader in the fight against pediatric HIV and AIDS, working in 15 countries and at over 5,500 sites around the world to prevent the transmission of HIV to children, and to help those already infected. Today, because of the highly successful work of the Foundation and its partners, pediatric AIDS has been virtually eliminated in the United States. With a growing global staff of over 1,000—nine of 10 who work in the field—the Foundation’s global mission is to eliminate pediatric HIV and AIDS by implementing HIV prevention, care, and treatment programs; further advance innovative research; and to execute strategic and targeted global advocacy activities to bring dramatic change to the lives of millions of women, children, and families worldwide.
Job Summary
The Program Coordinator, will work as a key member of the global SI&E Team, under the leadership of the Senior Director of SI&E. He/she will provide critical administrative and technical support to the SI&E staff for program monitoring and evaluation, organizing various meetings (including preparing meeting notes and minutes), travel coordination and other general administrative tasks. In addition, the Program Coordinator will work closely with members of the SI&E teams in various documentation work such as writing reports, program briefs and preparing presentations.
Job Responsibilities:
• Provides overall administrative support to the SI&E team in terms of scheduling, travel, and documentation
• Serves as logistics coordinator for team meetings including retreats, trainings, and conferences, including those on-site and off-site; prepares and disseminates meeting/retreat notes/minutes; facilitates coordination of hotel rooms, travel, transportation service and meals; sets up and coordinates meeting rooms and catering; prepares meeting budgets and post-meeting expense reports
• Facilitates various documentation projects on behalf of SI&E team, including preparing, editing, and formatting annual and semiannual progress reports, program briefs, literature reviews, and PowerPoint presentations
• Keeps team’s page on Foundation’s internal website clean, organized, and up to date
• Works closely with various members of the SI&E team on miscellaneous projects
Knowledge, Skills and Experience:
• Bachelor’s degree required
• Must be highly detail oriented
• Must have demonstrable document/presentation formatting skills
• Strong proficiency in Microsoft Word, Excel, and Power Point
• Data management experience a plus
• Strong communication skills, both oral and written, are required
• Proven ability to work effectively as member of dynamic team in fast-paced environment
• Strong organizational skills, with ability to prioritize, take initiative and follow-through
• Ability to speak and write in French and/or Portuguese will be a plus
• Familiarity and interest in public health or related field preferred.
