  • Assist with the recruitment process of local staff by drafting vacancy notices, advertising positions, processing applications, administering practical skills tests when required, arranging for interviews, requesting personal references, sending regret letters to all unsuccessful candidates, and communicating with selected candidates about offers of appointment and documentation required.




  • Collect and verify all necessary documents and forms from Port of Entry Supervisors pertaining to the new applicants. Process a background check of the newly hired staff and hourly non-staff.




  • Assist in maintaining UNJSPF enrollments.




  • Assist with the completion and submission of “IOM Welcome Package” to newly hired staff; follow up with them on EOD Medical Exam appointments, submission of the documents, and on MSP enrollments.




  • Assist in preparation of the documents pertaining to the employment of the staff members. Draft employment verification letters for various agencies. Assist in handling unemployment queries and claims.




  • Assist with the administration of the local Insurance policies, such as Health insurance, Unemployment and Disability insurance, Workers Compensation insurance, General Liability, Property and Auto Insurance; checking compliance with the local law requirements.




  • Assist with the communication with local authorities, with handling issues with local in every state authority regarding various administrative matters including exemption from taxation, determination of IOM status and complains from former employees.




  • Update staff files; send out requests, collect and verify all required forms and certificates (such as Security tests, Annual Attendance records, PME exams).




  • Assist in verification of information concerning staff members’ eligibility for Family and Language allowances and adjusting benefit amounts according to the latest UN Salary Scale’ requirements.




  • Pack and distribute checks and direct deposits to NY and POE staff.




  • TransitChek cards submitting and verifying orders, distributions.




  • Distribute attendance records for NY Office.




  • Following the New York State Department of Labor instructions, as well as any other relevant instructions, which may be issued in the future, prepare Notices of Pay Rate and Pay Date, etc.




  • Prepare and distribute MSP cards for IOM USA employees.




  • Assist in drafting letters, notes, memos and other correspondence as directed.




  • Assist in the retention and disposal of documents in a timely manner.




  • Assist in handling all inquiries to Chanin Building administration regarding security passes, maintenance problems, and arranging building ID card requests or replacements.
