Extension Secretary - Vigo County, IN - Terre Haute, IN

Incumbent serves as Secretary for the Vigo County Extension Office, responsible for providing administrative support to department personnel.

Examples of Duties:


Answers telephone and greets office visitors, providing information and assistance, answering questions, taking messages, and/or directing to appropriate department or individual.


Distributes reference educational bulletins and maintains appointment calendars for Educators.


Produces and proof reads reports, newsletters, correspondence, minutes, design layouts, and computer graphics.


Determines size and arrangement of illustrative material and copies, selects style and type, and arranges layout based on available space, including occasionally marking, pasting, and assembling final layouts for printer.


Assists staff on computer systems and document design problems. Updates and maintains office website.


Follows cash handling procedures established for Education Fund.


Performs various clerical duties, such as sorting and distributing incoming mails, and sending mail as needed.


Performs duties of co-workers in their absence or as needed to maintain department operations.


Performs related duties as assigned.


Typical Qualifications:


High School diploma or GED.


Ability to meet all employer and Department hiring requirements, including passage of a drug test.


Working knowledge of standard office procedures and basic computer skills and related software programs, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.


Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence and written reports as required.


Knowledge of basic filing systems and ability to create and maintain accurate and complete Department files.


Ability to operate standard office equipment, including computer, typewriter, folding machine, digital camera/camera, camcorder, projection equipment, VCR, TV, satellite system, copier, LCD projector, scanner, laminating machine, fax machine, and telephone.


Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities, and disabilities.


Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.


Ability to comply with all employer and department policies and work rules, including, but not limited to attendance, safety, drug-free workplace, and personal conduct.


Ability to understand, memorize, retain, and carry out oral or written instructions and present findings in oral or written form.


Ability to compile, collate, or classify data, coordinate, and make determinations based on data analyses.


Ability to work alone with minimum supervision and with others in a team environment.


Ability to work on several tasks at the same time, often under pressure.


Ability to apply knowledge of people and/or locations, and plan and layout assigned work projects.


Ability to occasionally work extended weekends and/or evening hours.


Supplemental Information:


Incumbent performs duties in a standard office environment, involving sitting/walking at will, lifting/carrying objects weighing less than 25 pounds, keyboarding, close vision, speaking clearly, hearing sounds/communication. Incumbent occasionally works extended, weekends, and/or evening hours.


The incumbent may provide occasional support for Extension community events that require additional staff support. Such events may include, but not be limited to, registration, outreach, and technical assistance for workshops, meetings, and programs.
