Position Title

Secretary – Office of Academic Affairs (Class I, 48 weeks/year)


SECRETARIES WITHIN THE EVSC APPLYING FOR THIS POSITION WILL BE PLACED ACCORDING TO ADMINISTRATIVE GUIDELINES.


SUMMARY:

Perform routine clerical and administrative functions such as working with data base applications including EVSC PD website, IDOE LVIS and RTI RDS module, creating and maintaining data files including general and grant budgets, organizing and maintaining paper and electronic files, drafting correspondence, scheduling appointments, and communication and documentation with outside vendors and non-public institutions, and providing information to callers. Works directly with assigned supervisor(s); functions as a team member at times.


PAY/BENEFITS:

Class I Secretary – Starting Rate: $16.51/hr, Full Benefit Package, Sick and Personal Days


ESSENTIAL TASKS AND RESPONSIBILITIES

Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, Google applications, and other applications.

Make copies of correspondence and other printed material.

Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.

Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.

Learn office technology including working with data base applications such as EVSC PD website, IDOE LVIS and RTI RDS module.

Learn to operate new office technologies as they are developed and implemented.

Set up and maintain paper and electronic filing systems for records, correspondence, and other material.

Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.

Open, sort, and distribute incoming correspondence, including faxes and email.

Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.

File and retrieve corporate documents, records, and reports.

Prepare responses to correspondence containing routine inquiries.

Coordinate and manage (including set up and tear down) significant PD events at various sites.

Prepare and manage specific projects as related to academic team assignments.

Assist team members to complete duties in a timely manner when time is available.

QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED) and one to three years related experience and/or training; or equivalent combination of education and experience as determined by the board of school trustees.

LANGUAGE SKILLS:

Ability to read and comprehend correspondence, memos, instructions, and documents, such as safety rules, operating and maintenance instructions, and procedural manuals. Ability to write reports and correspondence clearly and concisely and using correct grammar, spelling, and punctuation. Ability to speak effectively with correct grammar with individuals.


MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

Ability to operate personal and mainframe computers and related software. Ability to operate a fax machine, copier, modem, and telephone. Ability to perform duties with awareness of and compliance with related corporation policies and state requirements.
