SMU-Administrative Assistant II - Enrollment and Student Services job - Sutter Health - East Bay, CA

The Administrative Assistant (AA) serves as the initial point of contact for the University whether by telephone, email or visiting the Oakland campus. The AA is also the key initial contact for the Division of Enrollment and Student Services. Whether for the Division or the University and whether by telephone, email or in person the AA effectively, accurately, and efficiently (1) answers questions, (2) makes referrals or directs people to appropriate individuals and departments; and (3) fulfills the job duties and accountabilities of the position. As the University’s and the Division’s primary customer relations person, this position has substantial knowledge of the Division and the University’s academic programs, and the role, function and key personnel throughout the University. The person effectively uses the student information systems, standard computer-based business applications, web-based services and the University’s cloud-based systems to complete assigned work. The person exhibits qualities of exceptional customer service with thorough follow-through, friendliness and an attitude of helpfulness and service.

Work schedule may vary between 7:00 am to 7:00 pm to meet the customer service needs of the department.

Qualifications


Education and/or Experience:


  • High school graduation or GED required.

  • Administrative and customer service support experience in an educational environment strongly preferred.

  • Ability to perform mathematical operations (note: skills may be tested)

  • Proficient in Microsoft Office programs (Excel, Word, Powerpoint)

Skills and Abilities:

  • Strong interpersonal skills with people in a diverse community

  • Ability to comprehend and execute complex policies and procedures.

  • Proven customer service skills

  • Excellent organizational and communication skills

  • Detail oriented and accurate

  • Experience with student information systems

  • Demonstrated computer experience

  • Knowledge of billing and/or accounts receivable

  • Familiarity with data bases and accounting software

  • Ability to receive detailed information through verbal and written communication.

  • Ability to express and exchange ideas in writing.
