Office Professional
at the
Freeport, T
X location. The purpose of this job is to support Power 8, CRW, Power Distribution, Meter and Relay and the Energy Optimization groups. This role is intended to provide the administrative support and expertise needed to maximize organizational effectiveness for our department. The incumbent will work under the general direction of the Production Leader.
Key Responsibilities:
- Provide administrative support to the following groups: Power 8, CRW Plant, OC Utilities, Power Distribution, Energy Systems Optimization, and Meter & Relay.
- Review payroll and complete reporting requirements.
- Fulfilling Records Management Coordinator role to ensure that department is in compliance with record management policies.
- Working with Operating Discipline (OD) Coordinator and Operating Discipline Management System (ODMS) Element Focal Points to maintain a compliant Document Management System within the department. Additionally, the incumbent would be a Focal Point for some of the ODMS Elements.
- The incumbent will be the owner of all the department folders on the associated servers.
- Manages File Share security for department servers.
- Actively participates in all applicable Employee Health & Safety (EH&S) programs.
- Oversees Plant Library administration.
- Create and revise procedures; analyze operating practices, recordkeeping systems, forms control, office layout, and personnel requirements; implementing changes
- Maintains department websites.
- Department Subject Matter Expert (SME) for standard Dow Workstation (DWS) and Microsoft applications.
- Office management, including mail and routine correspondence, managing office supplies, oversight of building services and planning department functions.
- Active member of empowered teams (EH&S, Administration, etc) and would need to apply their knowledge and skills to help the teams achieve their goals.
- Providing HR systems support for salaried (exempt and non-exempt) personnel.
Tasks:
- Receive and direct visitors and clients
- General clerical duties including photocopying, fax and mailing
- Maintain electronic and hard copy filing system
- Retrieve documents from filing system
- Handle requests for information and data
- Resolve administrative problems and inquiries
- Prepare written responses to routine enquiries
- Prepare and modify documents including correspondence, reports, drafts, memos and emails
- Schedule and coordinate meetings, appointments and travel arrangements for employees
- Prepare agendas for meetings/prepare schedules
- Record, compile, transcribe and distribute minutes of meetings
- Open, sort and distribute incoming correspondence
- Maintain office supply inventories
- Coordinate maintenance of office equipment
- Coordinate/maintain records for leader, telephones, expense reports, etc.
Qualifications
Required Qualifications:
- At least 3 years of experience in an administrative role is required.
- Routine travel throughout the Freeport site is a requirement.
- Job requires excellent PC skills with expertise in the standard Microsoft Office applications including Excel, Outlook, Power Point, and Word.
- Incumbent must have excellent organization and interpersonal skills, flexibility, and a professional work ethic.
- Must have a current, valid, United States driver license.
- A minimum requirement for this U.S. based position is the ability to work legally in the United States on a permanent basis (U.S. citizen, U.S. Permanent Resident, or Qualifying Asylee/Refugee).
Preferred Qualifications:
- Previous Dow experience is preferred.
- Prior payroll experience is preferred.
Education:
- A minimum of a High School Diploma or GED is required.
- An associate degree or higher is preferred.
