Position Summary
This position provides general administrative support to the Assistant Vice President of Employee Services and the Department of Employee Services, which includes Human Resources and Payroll.

The Department of Employee Services is currently seeking highly qualified candidates for the position of Administrative Assistant V. Qualified candidates will possess the minimum qualifications as described and demonstrate through cover letter and resume the desire to provide exemplary customer service, build trusted relationships with employees and retirees, and possess strong organizational skills.

Required Education/Experience/Skills
30 hours college credit or an equivalent combination of education and experience; 5 years of administrative assistance experience, including one or more years of computer experience Must have experience with technology applications such as Microsoft Office and various databases
Preferred Education/Experience/Skills (additional qualifications)
Possess strong organizational skills. Possess a working knowledge of Microsoft Office applications, primarily Word and Excel. May be quality focused and customer minded.

Work Performed
Provides exemplary and efficient customer service to ensure positive patron experiences and to ensure serving the employees, students and retirees of Tarleton State University is first priority. This is done by building relationships with the employees and retirees we serve, assisting employees and retirees with their customer service needs, educating employees and retirees about resources and provisions of employment with the Texas A&M University System, and owning customer service inquiries through to resolution. Demonstrates a cooperative, positive attitude in the workplace.
Provides support to the mission, vision and values of the Tarleton State University through service, excellence, tradition, leadership, civility and integrity. Works to attain departmental, divisional and university-wide goals.
Provides support to the Assistant Vice President with scheduling, meeting preparation, meeting notifications, research, recordkeeping, and budget request development. Responds to a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload.
Work Performed
Provides departmental budget and operations support by tracking departmental expenses, reconciling expenses against budget availability, preparing purchase requests, keeping up with annual subscriptions, providing support as needed for travel, purchasing office supplies and overseeing the inventory of the departmental supplies.
Maintains Tarleton service records on all budgeted faculty and staff in support of annual service awards and retirement. Assists the President’s Office by auditing service time of employees up for service awards in preparation for the annual service awards event each May. Responds to employment verification requests.
Assists the Assistant Vice President with notification preparation and distribution related to the employee complaint and appeal process. Assembles highly confidential and sensitive information for record keeping and retention.
Work Performed
Maintains the departmental web site with current or new information.
Serves as the Summer Camp liaison for Employee Services by pulling criminal background checks, verifying documentation present for review and routing to appropriate personnel within the department in accordance with the established processes.
Participates in training and self-development opportunities when appropriate.
Performs all other duties as assigned.
This is a security-sensitive position. The individual in this position is required to handle Protected Health Information in accordance with A&M System policy and is further required to complete HIPAA training as a condition of employment, within a reasonable time frame after the individual’s employment, and on an “as-needed” basis thereafter.
