Job Responsibilities:


  • Assist the Executive Director and the Board of Trustees:

  • Manage the Director’s office – oversee day-to-day operations: administrative, clerical and business details; heavy diary management; prepare PowerPoints and lecture introductions; make extensive domestic and international travel arrangements (airfare and hotel accommodations, etc.) for the Director and others. Represent the FIA and the Director in a professional manner. Utmost confidentiality required.

  • Liaison and Recording Secretary to the Board of Trustees, Executive Committee, and Trustee Management Committee including creation of agendas, taking minutes for the Board Secretary’s approval, communication with the President and Committee chairs, codifying Board policy changes and additions, preparation of the Executive Director’s reports to the Board, coordination of special projects for the Executive Director and Trustees, including follow-up on action items as appropriate.

  • Maintain the FIA master electronic calendar.

  • Liaison to the Founders Society, including attending monthly meetings.

  • Relationships – Coordinate meetings, tours or receptions for special donors, guests, visiting artists and lecturers or member initiatives with Development Department staff.

Coordinate Public Relations and Marketing of the FIA as directed:


  • Public Relations – Publicize, promote and disseminate information throughout the community and all neighboring counties to foster interest in the Institute’s exhibitions and programs. Represent the FIA at local meetings and events. Build a media “who to call” list, with complete contact information including cell and business phone and email addresses.

  • Marketing – Assist the Directors and departments in creating new initiatives and marketing opportunities. Attend local marketing meetings as requested to inform them of FIA events and to be informed of local events to share with FIA staff.

Media – cultivate media relationships to increase public awareness of FIA


  • assist in development of topics for publicity purposes

  • build media contact list and communicate on a regular basis

  • organize / facilitate interviews with media of key staff and coordinate appropriate departmental information to maximize marketing effectiveness

  • Audience Development – assist with development and implementation of marketing exhibitions and programs in new areas and with groups that have not typically frequented the FIA

  • Cultivate new collaborative opportunities

Minimum requirements:
College degree or equivalent experience in Executive Administrative Support
Abilities required:
This position requires strong writing and communication skills (some art history preferred), an understanding of the non-profit world, and a keen interest in the community. Attendance at a cross-section of museum events, such as; exhibition openings, fundraisers, lectures, films, and other programs is essential. Demonstrated proficiency in word-processing; a working knowledge of standard business related software; Ability to deal effectively with the public; and excellent organizational skills required. Knowledge of Mac OS a plus. Administrative experience supporting a Top-level Executive and Board of Trustees, Non-profit experience, and knowledge of the area desired.
