‘i Electric Light has one (1) management vacancy available. Role: Professional Fundamental Responsibilities
Provides administrative support to the department manager, Distribution project teams and Apprentice commitee including:
- Greets visitors, answers and screens telephone calls, handles routine requests for department information, and directs calls/employees/visitors to proper divisions.
- Provides administrative support for department. Edits and types letters and other correspondence drafted by department manager and supervisors, ensuring that the end product is professional and appropriate. Makes copies, faxes documents, files documents, locates documents, sorts mail, and maintains postings as required. Assists manager and supervisors with incidental duties such as preparing work notices, downloading reports, data entry, and distributing information and materials to employees.
- Prepares tracking schedules and timelines for major projects and department activities using computer software.
- Arranges meetings and coordinates attendees’ schedules and meeting locations. Maintains the department calendars for switching orders, project activities and staff appointments. Manages travel accommodations for manager and other department supervisors.
- Maintains confidential files and official department records in accordance with the Records Management System. Develop, systematize, and maintain various policies, procedures, and manuals for the Department.
- Performs research activities to compile information needed to respond to PUC information requests, Case Dockets, customer inquires, media requests, governmental agency requests and audits, etc. Maintains the official department library of all correspondence, policies, procedures, manuals, Tariffs, contracts, etc.Recommends, designs, and develops Department programs which focus on the achievement of Departmental goals. Maintains and updates the Department Playbook, Performance Tracking System, Strategic Plan, etc., and develops, implements and delivers innovative communication programs to keep Department employees attuned to these programs.

Knowledge Requirements
- Extensive working knowledge of personal computers, related software applications including Word, Excel, PowerPoint, Outlook,and ERP systems. Proficient use of peripheral computer devices such as video conferencing systems, scanners, and other technology. General knowledge of database design and information storage and retrieval techniques.
- Knowledge of general business principles and practices.
- Working knowledge of budgeting, forecasting process and business statistics normally acquired through various college level courses or related experience.
- Understanding of Electric Utility accounting practices and rate setting procedures preferred.
- Thorough knowledge of general office policies and procedures. Understanding of Electric Utility regulations and reporting requirements preferred. Understanding of litigation process used in lawsuits and arbitrations preferred. Understanding of employment laws and personnel procedures preferred.
- Basic knowledge of Electric Utility systems preferred. Basic knowledge of Hawai’i Electric Light’s transmission and distribution system preferred.
Skills Requirements
- Ability to communicate effectively with all levels of the organization, both orally and in written communication. Able to make effective oral presentations before large groups.
- Ability to handle difficult and/or sensitive issues while using tact, courtesy and discretion. Able to keep confidences when dealing with confidential material.

- Ability to work independently and effectively under pressure and within strict time constraints.
- Analytical, organizational, conceptual and administrative skills required to handle various projects and programs with minimal supervision.
- Demonstrated proficiency in the operation of various office equipment such as typewriters, computers, 10-key, etc.
Experience Requirements
- Several years (3-5) of recent general office experience, three years at the secretarial level or equivalent.
- Several years (3-5) experience administering one or more projects or programs.
- Few years (1-2) experience training groups of individuals.
