Seeking a high energy, detail-oriented administrative professional to join our fast paced growing team! SUMMARY

This position assists Portfolio Manager(s) in managing residential properties directly (multi unit properties without site staff) or through onsite staff; ensuring that properties meet ownership goals and objectives by overseeing the physical, financial and operational aspects of the property. The candidate for this position has aspirations for growth and advancement to a Portfolio Manager.

SAMPLE OF ESSENTIAL DUTIES AND RESPONSIBILITIES includes but is not limited to the following:


Understands owner goals and work to meet ownership expectations.

Shows and leases properties as needed; prepare paperwork and perform lease signing with tenants.

Performs move in inspections.

Tracks current delinquency accounts, performs rent collection calls to tenants. Posts collection and other notices as required.

Assists site staff with resident retention programs and implements resident retention programs for properties without site staff.

Handles resident relations matters, assist in tenant evictions and offer support for site staff.

Maintains marketing, advertising and available notification of properties.

Manages notices to vacate, performs move out inspections, assesses charges and processes move-out paperwork.

Visits properties and conduct site inspections as requested.

Assists Portfolio Managers in the management of schedule and perform onsite personnel coverage, as needed.

Schedules and organizes activities such as meetings, agendas, refreshments, travel, department activities, and transcribes minutes of meetings.

Reviews Onsite Manager paperwork for accuracy and timeliness as backup to Training and Compliance Officer.

Maintains all property checklists and maintenance turnover boards with accuracy.

Maintains proper owner and resident filings of all documents, including Executive Binders and Property Binders, updating content as necessary.

Accepts tenant maintenance requests, coordinates work to be performed, entering work order in system, and keeping tenant and Portfolio Manager apprised of work status through completion.

Performs written communication for current rental references.

Works in Relocation and/on managed properties as coverage for lunches, vacation or illness, with full competency in all functions required.

Prepares and posts notices as directed as needed.

Performs verbal and written communication to owners, tenants, and vendors as directed.

Responsible for assisting and/or implementing lease renewal programs.

Assists with new business paperwork distribution and processing as needed.

Acts as the primary contact for tenant calls and backup contact for owner calls.

Assists Portfolio Managers as directed with contracts for various services, including janitorial, security, grounds keeping, and waste removal at a competitive price with high quality.

Organizes and maintains file system. Files correspondence and other records.

Participates in comprehensive operating budget preparation and adherence throughout the year.

Maintains good public relations and interacts with clients, customers, and co-workers in a respectful and professional manner.

All employees are expected to perform any reasonable work requested that falls within the qualification but not specifically described.

QUALIFICATIONS


Knowledge: 2 years of previous property management experience (Manager, Assistant Manager) combined with 1-2 years of administrative assistant experience required. Must be at least 18 years of age.


Skills & Position Requirements include but are not Limited to:


Pass Microsoft Word 2010 Testing with a 90% or higher score.

Pass Microsoft Outlook 2010 Testing with a 80% or higher score.

Type with accuracy and speed 50+ wpm


Other


Must possess and use good interpersonal skills with other employees and the public.

Must be punctual, efficient, an independent worker, a detail oriented person and possess good work habits.

Must be able to perform and/or manage multiple tasks, projects and priorities concurrently with a positive attitude and approach.

Possess a can do attitude and manage multiple items from different managers.

Ability to act and dress professionally in the work environment.
