Executive Assistant – Job Description
Canvasback Missions has been dedicated to bringing healthcare and health education that would be otherwise unavailable to the islands of Micronesia since 1981. We believe that all people deserve a high quality of life, and through partnership between volunteer professionals, island communities, and our generous supporters, we bring health and wholeness to Micronesia. With a full time Wellness Center on the island of Majuro and an average of 8 specialty surgery teams coordinated and sent to the islands each year, Canvasback is able to impact the health of over 2,300 individuals and provide over $4.5 million in patient care annually.
We are currently searching for an Executive Assistant to work onsite at our California office. Successful candidates will have excellent interpersonal skills and must be outcome-oriented. The ability to work in a fast paced environment with strong attention to detail is essential. You will be fully engaged and busy from the first day and we guarantee there will never be a dull moment.
Responsibilities & Requirement
1. Office Workflow Management:
· Timely follow-up of phone calls and emails
· Helping to facilitate meetings
· Maintaining communication between staff members
· Assessing weaknesses in workflow and applying changes to increase efficiency
· Managing the company calendar · Arranging for office volunteers as necessary
2. Office Upkeep and Maintenance:
· Maintaining and purchasing supply inventory · Facilitating office and equipment cleaning/repairs
3. Data Management:
· Basic data entry of volunteer/donor information · Facilitating donation payment processing
4. Volunteer Specialty Team Coordination:
· Coordinating volunteer schedules
· Making travel/lodging arrangements
· Collecting and managing paperwork
· Providing assistance to volunteers as necessary · Scheduling supply/equipment packing and shipment dates
5. General Volunteer Efforts
· Management of volunteer interests · Keeping potential volunteers up to date with upcoming opportunities via email or other form of communication
6. Special Projects as assigned
Qualifications
· Associate’s Degree or higher
· 4+ years of hands-on administrative support experience
· Must be proficient in MS Office Suite, Internet – previous database experience (Access, Blackbaud, etc.) is a plus
· Awareness and care of intercultural nuances – previous intercultural work experience is a plus
· Excellent written and verbal communication skills, analytical and problem solving organizational skills, and the ability to work with confidential information and documents
· Ability to manage staff and work on multiple projects simultaneously
· Ability to manage multiple tasks and achieve deadlines with superb accuracy under pressure
· The ability to take initiative in organizational projects
