PROGRAM/DEPARTMENT SUMMARY:
The Mercy Corps Action Center operates out of Marketing/Communications which is part of the Resource Development (RD). The RD staff work in three main areas: 1) raising private funds and cultivating and maintaining relationships with private donors; 2) defining the agency"s brand, raising our public profile and sharing stories about our work by engaging with the media, the public, and our supporters and producing a wide range of online and offline communications; and 3) educating visitors to our Portland Action Center and the larger Portland Metro area about issues of global poverty and engaging them in efforts to end it.
The Center is Mercy Corps" community engagement hub, a public space that welcomes the community in to our public space to experience a variety of programs, and a community outreach department that engages audiences, organizations and businesses in the region. We offer comprehensive, onsite classes for students in grades 6 through 12 and college age; summer camps for teens; and year-round programs for adults, including lectures, seminars, cultural presentations and gallery exhibits. We also engage the public through a growing volunteer program which helps support the above programs as well as several other Mercy Corps departments.
The Mercy Corps Action Center has two primary functions: We build awareness and understanding of global issues through the work of Mercy Corps with a variety of public programs. And we work to raise the visibility of Mercy Corps in this community to help support fundraising.
GENERAL POSITION SUMMARY:
The Program Assistant provides critical support to Action Center programming in these areas: administrative and production support; volunteer program support and event and general Action Center promotions. The Action Center Program Assistant also supports Action Center operations as needed. This position requires occasional evening and weekend work.
ESSENTIAL JOB FUNCTIONS:
Administrative/Event Production Support
- Facilitate invoice processing, scheduling, copying, and filing
- Help set up travel and hotel for visiting speakers as needed
- Research speakers for programming development and also for marketing needs
- Help coordinate volunteers and other needs for event production including room set up, guests lists, Brown Paper Ticket management, ensuring proper A/V needs, internal communication, security, event collateral etc
- Help with M&E tracking as needed
- Help write/edit grants and working with RD Action Center grant manager, track deadlines
Promotions Support:
- Research and learn the basics of Mercy Corps programs and approach
- Help coordinate and implement promotions as outlined by the Action Center Marketing Plan and as directed by the Action Center Director which include the following:
- Plan and write and distribute internal and external emails for events and other programs
- Help write, edit and coordinate flyers and distribution of flyers for events and other programs as needed
- Write and distribute press alerts, web postings and conduct grassroots outreach as needed.
- Support social media efforts as needed.
- Coordinate and manage advertising as needed.
- Help coordinate the production of Action Center print materials.
- Ensure proper Mercy Corps brand style in look and language.
Volunteer Program Support:
- Manage all communication with volunteers
- Help maintain new volunteer management software
- Recruit volunteers for Mercy Corps volunteer opportunities, provide relevant information manage necessary logistics.
- Responsible for tracking all volunteer engagement
- Ensure program implementation is on time and target using effective M&E systems to reach desired impacts.
- Co-facilitate regularly scheduled Volunteer Orientations
- Coordinate logistics for Volunteer Appreciation events/activities.
Organizational Learning:
- As part of our commitment to organizational learning and in support of our understanding that learning organizations are more effective, efficient and relevant to the communities they serve – we expect all team members to commit 5% of their time to learning activities that benefit Mercy Corps as well as themselves.
Accountability to Beneficiaries
- Mercy Corps team members are expected to support all efforts towards accountability, specifically to our beneficiaries and to international standards guiding international relief and development work, while actively engaging beneficiary communities as equal partners in the design, monitoring and evaluation of our field projects.
SUPERVISORY RESPONSIBILITY: Volunteers
ACCOUNTABILITY:
REPORTS DIRECTLY TO: Director, Mercy Corps Action Center
WORKS DIRECTLY WITH: Director, Community Engagement Manager and all members of the Action Center team
KNOWLEDGE AND EXPERIENCE:
- Bachelor"s degree in social sciences, communication or related field.
- Three years or more of successful work in the following: communications, events, promotions and volunteer coordination.
- Advanced organizational skills sufficient to independently establish priorities and carry out multiple assignments in a timely manner.
- Excellent writing/editing skills.
- Demonstrated ability to handle highly detailed tasks and adapt to changing priorities.
- Extensive experience interacting diplomatically and professionally with internal and external customers.
- Prior knowledge of non-profit administration preferred.
- Excellent time management skills.
- Strong understanding and knowledge of international development issues.
- Excellent facilitation and presentation skills, including experience presenting to large groups
- Proficiency in Microsoft Office applications (including Excel). Basic knowledge of graphic design, InDesign or other design software and volunteer software a plus.

The successful Program Administrative Assistant will have strong attention to detail as well as a commitment to teamwork and accountability, be a versatile, multi-tasker with the proven ability to organize and prioritize many urgent tasks. The person should have excellent time management skills and demonstrated ability to communicate effectively with team members of varied work styles as well as follow procedures, and meet deadlines. He/she will be self-motivated and willing to take initiative, have the ability to use sound judgment to prioritize tasks as well as select the best options available, understand the role of a key support position and strive to deliver excellent and timely customer service. Generally, it will be important to have good communication skills and an ability to deal with all levels of the organization as well as have a strong commitment to Mercy Corps values and mission.
LIVING/WORKING CONDITIONS:
This position is based in Portland. Mercy Corps Team members represent the agency both during and outside of work hours when deployed in a field posting or on a visit/TDY to a field posting. Team members are expected to conduct themselves in a professional manner and respect local laws, customs and MC"s policies, procedures, and values at all times and in all in-country venues.
