Position Purpose
The Client Alternative Asset Agent is responsible for reviewing and monitoring the alternative asset investments owned by our self-directed IRA account owners. They will work with our clients to ensure IRS, Federal and State rules and regulations are followed and that the value of the assets are accurate and updated annually. They will be providing a high-level of customer service to the Preferred Trust Company retail clients and will perform various special projects as needed.
Essential Duties and Responsibilities
- Client alternative asset investment oversight and compliance.
- Establish and implement internal audit policy and procedure for the review and maintenance of alternative asset investments held in self-directed IRA accounts.
- Review new and/or transferred-in investments.
- Communication with account owners and investment sponsors.
- Answer multiple phone lines, return voicemail messages and direct calls to the appropriate representative.
- Create client asset files/archives as needed.
- Review asset/Cusip set-up and history in the Trust Accounting System and audit and correct as needed.
- Provide support to the Investment Department by providing backup for the following processes which include, but are not limited to, assisting clients in the completion of investment forms as needed, processing new investments in the Trust Accounting system, deploying communication/correspondence on behalf of the investment asset such as property violations to the account owner and/or the property manager or investment sponsor.
- Provide potential clients and business affiliates with Company information and applications as requested.
- Provide general customer service which includes, but is not limited to: follow-up with clients for missing compliance information as it relates to investments, update client investment information in the Trust Accounting System and Salesforce.
- Complete other tasks as assigned.
Qualifications/Experience,
- Experience and/or training in the self-directed retirement industry is preferred.
- Must have strong interpersonal skills, maturity and good judgment and be capable of communicating with a diverse range of individuals.
- Excellent phone and conceptual selling skills.
- Must display the ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands with continual attention to detail required in composing, typing and proofreading materials.
- Ability to handle sensitive and confidential information and exercise discretion.
- Basic proficiency in Customer Relationship Management software.
- Must be proficient in Microsoft Office Suite (Outlook, Word, Excel).
- High School Diploma, with 2 years of experience in the financial services industry.
