The Department of Corrections is seeking a highly motivated and qualified individual for the position of Office Assistant 3 (OA3) within the Community Corrections Division. This position is located in Longview, WA. at Longview Central, Unit 379.
Whether the work is inside a prison, in community corrections, or in an administrative office, the Washington State Department of Corrections professional staff experience a high degree of personal satisfaction knowing they are creating environments in which all offenders can learn to make choices that contribute to a safer society.
Duties:
- Greet and assist visitors at front counter, directing them accordingly based on information gathered, and enlisting assistance when needed.
- Answer/Route incoming calls using a multi-line phone system.
- Review, sort, and distribute incoming and outgoing mail. Both US Postal and Internal Department mail.
- Send and receive faxes, tracking and documenting accordingly.
- Prepare and set up new offender field files as needed.
- Assist in maintaining electronic and hard copy of offender files chronologically to accurately reflect current offender status.
- Enter and update information into the Offender Management Network Information system (OMNI) from court documents, written reports, offender files, NCIC and WASIS criminal history checks.
- Provide information to, and for offenders, law enforcement, prosecutors, and other Department of Corrections officers/divisions by researching information in OMNI, or District Court or Superior Court management information systems (DISCIS or SCOMIS).
- Use Microsoft Office software to type correspondence, reports, court documents, spreadsheets, forms, etc.
Qualifications:
Required :
- High School Diploma or GED.
- Ability to file, use appropriate grammar, punctuation, and spelling.
- Strong written and verbal communication skills.
- Accurate keyboarding and typing skills (minimum 35 WPM).
- Computer knowledge required.
- Ability to assist individuals with various criminal backgrounds.
- Must respect and maintain confidentiality.
Desired :
- Experience using Microsoft Office Suite programs (Word, Excel, Outlook, etc.)
- Knowledge of Offender Management Network Information system (OMNI)
